Job description / Role

Employment: Full Time

Our Client, An international law firm based in Dubai is looking to recruit an experienced HR assistant to join their existing team.

The role will compile of the following duties:
To be the first point of contact for HR related enquiries, questions and queries from the business and to provide the appropriate answers, responses and solutions as appropriate.
To provide administration and document support for Business HR Managers and HR Executives for core HR processes and programmes.


Key Responsibilities:
•Responding to telephone, email and on-line enquiries and providing answers; managing the enquiry from initial contact to closure and ensuring a high level of client service. The job holder will ensure that correct and timely advice is provided and escalate issues when appropriate
•Creating a strong sense of support and interest with incoming callers
•Advising and guiding incoming callers helping them to reach the appropriate conclusion and/or follow the right course of action
•Providing transactional processing and administration for all main HR processes including on-boarding, appraisals, performance management, salary and bonus review, climate surveys, mentoring programmes, exit interviews, secondments, leavers, retirements and maternity
•Carrying out office duties including ordering and updating materials for new joiners’ packs, maternity packs, dealing with work permit applications, keeping stationary updated etc.
•Ensuring, where relevant, that employees receive vouchers for long service awards
•Updating documents e.g. letters, application forms etc. in response to new legislation or policy changes
•Providing help and support to new members of the team and act as a buddy
•Providing references for former employees and for current employees’ mortgage/rental applications
•Arranging meetings and document provision for grievance, performance management and disciplinary cases
•Attending regular team meetings to ensure information is shared and team morale maintained
•Involvement in HR projects such as the trainee secretary scheme, secretarial work experience process and US Summer Associate Recruitment and Events Programme
•Working with the Business HR Managers and the recruitment team to arrange all new joiner administration, including induction and orientation of new joiners
•Tracking of 3 month and 6 month probation periods
•Providing benefits administration to support the compensation and benefits activities
•Updating and maintaining employees’ information on the firm’s HR System and other filing systems
•Maintaining and distributing department personnel information as appropriate
•Administering the client secondment process, preparing letters and contracts and diarising important dates
•Renewing fixed term contracts
•Liaising with and producing reports for the payroll department to ensure that all payments and amendments run smoothly
•Managing invoices by ensuring they are signed off, kept on record and sent to cashiers for payment
•Building and maintaining effective relationships with the Business HR Managers and other members of the HR team.

Requirements

•Previous HR work experience or working towards a CIPD
•Good academic qualifications, including English and Maths at GCSE level or equivalent
•High level of PC/database skills, including MS Office
•Customer service experience within a professional or commercial environment a plus
•Must have a thorough, in-depth understanding of the firm’s HR policies, processes and procedures
•Positive manner with strong team and delivery focus
•Ability to manage self and maintain level of objectivity and professionalism
•Excellent telephone manner
•Strong commitment to the customer and delivering results.
