Job description / Role

Employment: Full Time

- Leads the delivery of on-boarding and government affairs services in their location.
- Responsible for ensuring excellent service levels are provided to all our people and any accompanied spouses/family members. Provides additional HR support in location as required.
- Owns the on-boarding process for all employees except Associates and Partners, who are owned from a communication perspective by the HR Manager and from a processing perspective by the HR & Government Affairs Advisor;
- Holds on-boarding call with new starters and agrees on-boarding timeline alongside visa processing;
- Ensures the accuracy of all paperwork submitted for visa processing, including attestation of documents;
- Manages the location PROs, including scheduling their workload, and ensures they deliver an excellent level of service;
- Prepares all types of applications for visas, as per the Company matrix;
- Reviews and checks all applications before submission;
- Ensures accuracy of paperwork submitted with applications;
- Types MOL contracts when required by location;
- Schedules medical appointments and deals with any situations arising from visa medical examination failures;
- Processes all work permit and residence visa applications;
- Arranges all on-boarding flights and new joiner temporary accommodation;
- Communicates joining requirements to new starters and confirms start dates to Team Leader and HR Manager;
- Tracks all aspects of work permit and residency visa applications;
- Tracks expiry dates of permits and visas and manages the renewal process in a timely manner, including notifying employees in advance of expiry;
- Maintains government affairs administration records, including inputting into trackers and maintaining hard copy files of documentation;
- Ensures petty cash receipts are accurate and tracks spend within government affairs;
- Ensures documentation is returned to employees, and employees receive their MOL contracts, cards and any required ID cards;
- Ensures safety of employee documentation, including passports and original certificates;
- Represents EC Harris Company in government offices, consulates or sectors as and when required;
- Responsible for assisting with the renewal of the following (where applicable): Company Registrations, GOSI, Tax certificate, Chamber of Commerce Certificate under direction of Company Legal Counsel and external government offices;
- Updates the Company of any proposed new rules and regulations imposed by Ministry of Labor and Immigration departments;
- Ensures audit of Government Affairs activity;
- Assists in location First Day and Corporate inductions when required

Requirements

- Minimum high school certificate is required, preferably bachelors degree;
- In depth knowledge of Government Affairs processes;
- Fluent in Arabic (written and verbal);
- Excellent organisational skills;
- Customer focus with a drive to deliver exceptional customer service;
- Delivery focused individual with the ability to work in a self-sufficient manner;
- Ability to build strong relationships/networks with stakeholders and maintain a high degree of confidentiality;
- Strong communication skills (written and verbal);
- Ability to write in English and Arabic;
- Good IT skills including word and excel;
- A minimum of 5 years work experience, preferably managing external facing PRO teams;
- A minimum of 3 years PRO experience;
- Experience of managing the visa processes for a multi-national business;
- Experience of working in an English speaking environment
