Job description / Role

Employment: Full Time

The purpose is to manage business operations including; Training & HR, Marketing & Social Media, Internal Compliance & Communications along with the day-to-day running of the office. We are looking to bring a new level of professionalism to all the mentioned areas, especially staff training and development at Mark Williams. We would like the candidate to bring a fresh approach and implement ideas to enable continued business growth. The ideal candidate would come from a recruitment training background with operational and HR expertise, either theoretically or practically, however, must understand the recruitment lifecycle from an agency background.

Training & HR
- Set up full induction, sales, recruitment and management training programs
- Deliver training to new and existing employees
- Set up staff development programs, monitor and ensure continual improvement from all employees
- Provide new joiners with system training and provide further assistance where needed
- Recruit new employees, prepare offers and manage onboarding
- Deal with employee relations and manage staff files
- Preparing monthly; employees annual leave, sick leave and timekeeping and report to MD
- Handling monthly Payroll: prepare salaries, deductions, commission and send to bank

Marketing & Social Media
- Ensure company marketing material is up to date and is the best representation of our services
- Develop salary surveys for Mark Williams sectors, collate data and prepare for business
- Look at new forms of marketing to develop target sectors
- Maintaining all social media platforms to professional standard
- Uploading relevant industry related or recruitment articles
- Ensure job adverts are on the company websites with correct English / wording
- Communicate company message to employees

Internal Compliance
- Registration form monitoring and reporting
- Chameleon-i quality control
- Keeps management informed by reviewing and analysing special reports; summarizing information and identifying trends
- Reporting discrepancies to managers at the earliest to ensure changes / decisions can be made
- Ad hoc management reporting
- Assisting the Financial Controller in handling payments and get the best quotations from suppliers and best quality
- Ensure team are adhering to company compliance
- Oversee post placement candidate care
- Ensure candidates are starting by coordinating with team managers

Oversee areas below
- CV formatting / styling
- Making sure candidates are compliant with company policy
- Compliance requirements (registration forms, passport, family book, salary cert, etc.)
- Uploading the compliance requirements on system
- Identify discrepancies / issues (monitor if the Associates are tagging the candidates, entering notes, have filed up all the details)
- Replenishing all stock A4 paper, notebooks, pens, etc.
- Provide morning, lunch and ad hoc cover for the reception
- Daily / weekly KPI reporting
- Arranging travel reservations, hotel bookings and other travel matters for all staff
- Liaising with TECOM government services for matters related to Employment visas, work permits and other professional related requirements, Trade License, card, P.O. Box and others
- Preparing all the documents related to trade license, index card, P.O. Box and yearly renewal procedures

Requirements

- 5-8 years training or agency recruitment experience
- Sales training, ideally from a recruitment agency
- Five years recruitment experience
- In depth knowledge of recruitment life cycle
- Experienced with implementing learning and development programs
