Human Resources Administrator - Dubai

The HR Administrator UAE provides direct administrative and operational support to the Regional HR Team. The role administers day-to-day HR responsibilities on the ground and requires monitoring and adherence to internal policies and procedures. The role encompasses Resourcing and Human Resources with a specific focus on all matters relating to pre-arrival formalities of new employees, therefore building a strong working relationship with the Resourcing Consultant.

Responsibilities include but are not limited to:
- Compliance with HR Systems & Processes (Regional and Global)
- Recruitment administration & tracking (e-recruit and Spreadsheets)
- Providing advice and guidance on appropriate Visa requirements for new employees (pre-arrival candidates)
- Preparation and completion of appropriate and accurate documents to be obtained from candidates, for speedy new visa processing
- On-boarding administrative duties (Pre-arrival formalities)
- Mobilisation administration as part of the pre-arrival process.

Key Accountabilities

HR Operations
- Establish and maintain credibility for Human Resources in the Region.
- Working closely with the relevant PRO to keep abreast of changes to Government related visa rules/requirements and inform the rest of the HR team of implications to changes.
- Ensure internal process documents are updated and used to reflect any agreed/required visa changes.
- Ensure HR processes/communication is followed to deliver a proactive, high level HR service to the business.

Working closely with the Regional Resourcing Consultant to ensure recruitment aligns to agreed plans, including but not limited to:
- Recruitment Approval Forms are completed, signed off and passed on to the RC in a timely manner.
- Recruitment activities are tracked and updated prior to Resourcing calls/meetings
- Ensure Resourcing meeting action plans are completed prior to the next resourcing call
- Adding new approved positions to relevant agreed websites and advertising portals
- Contacting and arranging pre-screen information and interview co-ordination of all candidates shortlisted as indicated by the RC
- Attending all internal recruitment meetings and recording of minutes and actions to be forwarded to relevant individuals in a timely manner
- Ensure that recruitment processes comply with existing BH policies in the absence of the RC
- Provide feedback when necessary or requested to assist in recruitment & selection in the absence of the RC

HR Administration
- Working closely with the PRA (Public Relations Advisor) to ensure candidates being considered for roles in the ME (non-KSA ME offices) are eligible to work in the countries they are being considered for. (ensuring the Company is able to obtain employment visas (Residence Visas) for these candidates).
- Liaise with the Regional HR Officer regarding acceptance of employment offers to follow up directly with new employees regarding required documentation for visa preparation.
- Forward appropriate, complete and accurate papers and documents as required by local Authorities (Ministry of Labour, Visa offices etc) to the PRA for processing employment visas using check lists and updating the HR MASTER sheet.
- Provide updated and detailed visa application and visa progress reports to the HR team and flag any potential delays for forward actioning.
- Effectively manage all pre-arrival formalities as set out in the HR Process.
- Working closely with the appropriate line manager to ensure smooth on-boarding and Induction of new joiners are confirmed prior to their arrival.
- Ensure candidates are set up on IT, HR, Administration systems (e-mail activations, e-mail signatures, desk space, access cards, IT requirements (PC, laptop etc.), etc
- Ensure HR Officer is aware of start dates and that HR Induction plans in place prior to candidate arriving in the ME.

Requirements

- Graduate with a degree in Human Resources
- Proficient user MS office (Word, Excel, PP & Outlook)
- Detailed and structured/well organised
