Job description / Role

Employment: Full Time

The manager Project Office is responsible for facilitating project managers and program managers across multiple programs of work within the Information Management department. This includes ensuring standardized methodologies and tools are used, coordinating effective communication internally and externally as well as coaching and mentoring of IM staff. Initial tasks will focus heavily on establishing and operationalizing the IM project office prior to moving to ongoing operations.
Scope of Assignment
• Facilitation of the Enterprise Architecture, Business Intelligence, Enterprise Integration, Enterprise Content Management deliverable, and ensuring that the vendors as well as Program Managers conform to the project office guidelines, principles, risk and issue management, documentation standards and meet the agreed timelines.
• Facilitate project control and reporting groups
• Finalize the delivery of the strategy and Requirements, Procurements and implementation standard templates and processes
• Deliver training to Program and Project Managers in relation to the above deliverables
• Close off above projects and produce a lesson learned report.
• Initialize and opertionalize the IM Project Office as directed by the Senior Manager IM Project Office
• Modify and implement reporting and monitoring tools
• Develop and implement standardized methodologies and registers
• Development and implementation of reporting dashboards
• Ensure compliance with project management methodology and standards
• Management of resourcing recruitment and resource allocation to projects
• Implement and ensure compliance with status reporting from Project Managers to Program managers and executives.
• Other duties as assigned by the Senior Project IM Project Office
• Develop and implement a project communication strategy
• Manage a small team of analysts to assist in implementation of above strategies

Requirements

The ideal candidate will have the following skill and experience.
• Development of various Reports using Visual Basic
• Designing of Dashboards
• Should have expert knowledge in MS Project
• Should have expert knowledge in automating the report using macros
• Should have expert knowledge and experience in QA
The ideal candidate should also demonstrate a track record for performing the following tasks.
• Administration, business cases, change management, coaching and mentoring, communications, dependency management, document management, financial analysis & reporting, governance, KPIs, planning, process improvement, project lifecycles & methodologies, quality assurance, audits & metrics, MI & reporting, resource management; risk, issue & opportunity management, stakeholder management, training.
• Strong management and administration skills demonstrated throughout career. Successfully manages demanding workloads within time constraints. High & consistent attention to detail.
• Strong communication & interpersonal skills, always establishing excellent working relationships with project teams, suppliers, customers & third parties.
• Expert in Excel, Access, Visio, Word, PowerPoint & Outlook; utilizing VBA to automate processes. Highly proficient in Project & SharePoint.
