About the Business Description and Desired Qualifications ASHGHAL has embarked on a major programme of expanding and upgrading the wastewater infrastructure in the State of Qatar. The existing sewerage system in Doha consists of shallow sewers and numerous pumping stations. This system is becoming overloaded due to the scale and pace of development in Doha. A major tunnelled interceptor scheme is proposed in the Doha South STW catchment to reduce the number of pumping stations and to meet the long term needs of Doha. This scheme is called IDRIS. IDRIS comprises seven packages: (1) deep trunk sewer tunnel, (2) lateral tunnelled interceptor sewers, (3) terminal pumping station at Doha South STW, (4) forwarding and return TSE pumping stations, (5) sewage forwarding and TSE return mains and (6) new Doha South STW, and (7) ocean outfall. SUMMARY OF JOB PURPOSE:Provides advanced administrative and secretarial support to a large group of professional staff and/or senior management. Work is frequently complex and proprietary. Requires advanced secretarial and administrative skills. SPECIALIZED SKILLS: Advanced secretarial and administrative skills required Moderate to advanced knowledge of Microsoft Office Applications (Word, Excel and PowerPoint) In depth knowledge of typical procedures, practices, and techniques required for correspondence, procurement and petty cash fund administration Familiarity with document control/management systems Ability to work independently, multi-task, prioritize and meet tight deadlines Expected to utilize independent judgment to adapt practices, procedures and techniques as required to accomplish duties and responsibilities of the job Supervisory experience preferred Ability to interact with others in a professional and respectful manner Experience in dealing with confidential and highly sensitive materials Fluent in English KEY DUTIES: Duties and tasks are seldom routine in nature Independently prepares (or receives draft) reports, presentations and correspondence of a standard and nonstandard nature; including preparation of graphics, formatting, minor editing, copying and binding Routinely solves problems and questions that normally arise during the course of the job Liaise with document originator, reviewer and approver during document preparation Generate and maintain documents from database or network system Perform workload leveling for administrative work group Supervise AA1/AA2 personnel Draft project invoices; track project and subcontractor invoices Administer petty cash fund for office expenses Perform procurement activities for office and IT supplies, vehicle rentals, hotel accommodations and conference rooms Develop new or revised procedures or recommend improvements in the function Perform coordination role for conferences, professional meetings and community or office events including securing facilities, coordinating hotel services and overseeing execution of events Screen calls, arrange meetings, travel and maintain the daily calendar for senior management or other personnel Assist in maintaining departmental budgets or other records and processes such as purchasing Support staff in troubleshooting administrative issues Obtain and distribute employee contact list, holiday and travel schedule Order, inventory, and distribute office supplies CONTACTS: Frequent internal and external contacts with all levels of employees and clients or other individuals. SUPERVISION: Direct Works under minimal supervision. SUPERVISION: Indirect May train, orient, assign work lead or supervise lead less experienced employees. Frequently expected to be a resource for others. Basic Qualifications EDUCATION: High School or equivalent. Some college preferred.
