Employment: Full Time

The Lead - Enterprise Document Management is responsible for developing, implementing and enhancing various document and record management programs for Sidra in order to provide department staff with effective, easy-to-use processes for maintaining and retrieving information vital to department objectives and operations. The incumbent is responsible for overseeing and managing the storage, protection, retrieval and destruction of documents and records and ensuring the maintenance of vital and archival records.

KEY ROLE ACCOUNTABILITIES
- Participates in the development and implementation of the Business Process Improvement Department plans, in line with the corporate objectives, in order to continually improve the overall patient experience
- Develops and implements standards and procedures for the archiving, ensuring preservation of vital records, and oversees the process of documenting and conducting periodic audits of document archives across Sidra
- Develops policies to ensure effective and optimized document management across Sidra.
- Directs and manages the Enterprise Document Management Division mandates, providing leadership and facilitating work processes in order to achieve high performance standards
- Interprets and implements change in the Enterprise Document Management Division providing guidance and support necessary for continuous improvement
- Ensures compliance in the Enterprise Document Management Division with organizational policies, procedures and quality standards
- Plans, organizes and implements document management programs, methods, practices and procedures to ensure compliance with Sidra standards
- Establishes, maintains and updates file categorizing and indexing structures; develops and revises cross-reference indices and establishes and maintains document and records management databases
- Conducts document and records management training for Division staff
- Advises on appropriate procedures for preserving, storing, retrieving, retaining and destroying records in accordance with established policies and procedures
- Analyzes and oversees the process of duplication and backup storage of documents on electronic media with IT and other departments
- Collaborates with IT to ensure required support for implementation of Enterprise Document Management is correctly provided across Sidra.
- Ensures operational strategies are captured well in the document management and workflows.
- Ensures efficient maintenance of established policies, procedures, workflows, use cases, and systems architectures
- Defines documentation management architecture to ensure consistency across departments
- Oversees effective gathering and storage of market, competitor and department information together with sector methods, procedures, processes and guidelines as per documentation standards
- Facilitates access of various departments to documentation management resources to support business needs according to defined operational strategic initiatives.
- Defines goals and key performance indicators for each member of the team and ensures effective application of the Sidra performance management process
- Directs planning and selection of manpower in Enterprise Document Management Division, in line with the business and operational plans
- Stays abreast of new and emerging technologies applicable to the management of documents and records
- Ensures high level of employee engagement and capability development by providing on-going feedback and coaching team members within the Enterprise Document Management Division
- Adheres to Sidras standards as they appear in the Code of Conduct and Conflict of Interest policies.

In view of the evolving needs and opportunities within Sidra during this pre-operational phase, this position may be required to perform other duties as assigned and reporting relationships may vary.

Requirements

- Bachelors degree in a relevant field
- 7+ years of progressive experience in documentation management in a large organization, including 2+ years of supervisory experience.
- Strong knowledge of Documentation management methods and processes.
- Strong planning and organizing skills
- Strong cross - functional collaboration and relationship management ability.
- Proficiency with Microsoft Office suite
- Fluency in written and spoken English
