This role will be responsible for providing first line management support to Executive Assistants in the UAE whilst at the same time providing secretarial support to one of the smaller business units in the Dubai office.

This role will also be involved in the ongoing transformation of the internal support function as we seek to find new and alternative ways of working.

Responsibilities::
- Provide first line management support for the day to day operations of the Dubai and Sharjah secretarial team with line management of the Administration supervisor in Abu Dhabi
- Maintain all staff records, overtime/toil/absence mgmt/headcount/cost centre
- Resolve resourcing requirements/workflow allocations in the event of absence (planned and unplanned) or workload pressures
- Work with the recruitment team to resolve any vacancies which may arise and complete the associated paperwork
- Perform all 1st stage competency based interviews
- Work with the HR team to ensure the smooth onboarding and induction of new joiners
- identify and support any training needs
- Support temporary secretarial staff, particularly on day 1 by assisting with their induction, and then by maintaining an ongoing watching brief
- Acting as the day-to-day point of contact to deal with any first-line queries from the secretarial population
- Work with the senior management to identify and implement action plans in order to improve the quality and engagement of the secretarial team
- Identify any performance issues and work with the employee, in conjunction with HR, to make put the necessary improvement plans in place
- Take responsibility for secretarial Performance Review process by sending communications, collate feedback, attend and actively involved in1:1 reviews meetings
- Ensure day-to-day well being of staff members

Requirements

The job holder will be tasked with providing best practice support for the Firm. It is essential that the job holder is a strong team player.

Experience in the following areas is essential:
- Previous experience in staff management/coordination
- Experience and good understanding of the administrative staff recruitment process
- Ability to communicate well within a team environment, actively sharing information and knowledge, promoting and embracing change
- Flexible/sensitive and common sense approach to staff and workload decisions
- Excellent interpersonal skills and the ability to build and maintain strong relationships with key stakeholders
- Identification of issues which require escalation to identified Secretarial Manager
- Demonstration of can-do attitude
- Maintenance and knowledge of organisation/business team structures and the staff within these areas to ensure effective support is provided
- Familiarisation with all office practices and support staff procedures
