Al-Futtaim's Retail Division holds a stable of world class brands operating in buoyant markets with huge growth prospects. Some of our brands are Marks & Spencer, Toys R Us, Ace, Intersport, Guess, Esprit and IKEA as well as Robinsons with a range of smaller brands selected for their appeal to the markets in which we operate. We currently operate our Retail outlets across the Middle East and in South East Asia.

We have enjoyed phenomenal success throughout the UAE, Egypt and GCC countries. We are in the final stages of outline planning for massive growth and need to prepare for the next phase of this program.

Based in our Dubai Office; we now have an opportunity for a Lease Administrator to join the team. The purpose of this role is to support the Assistant Leasing Manager and General Manager of Property on day today lease administration matters, by liaising with respective business units and finance departments in honoring all contractual obligations as per the lease agreements across the MENA region.

Key Accountabilities:

* Rental Payment: To coordinate with respective business analysts, finance and ensure that all rental payments as per the lease agreements are processed on time and disbursed accordingly.
* Trade License: To work closely with Group Administration and retail operations of each brand to process new trade licenses and timely renewal of existing trade license, chamber of commerce certificates etc for all of our retail stores in UAE.
* Lease Commitments: To serve notices on due dates to Landlords and coordinate with Finance and arrange audit reports (confirmation of Gross Sales) from external Auditors and furnish the same to the respective Landlords on a timely manner.
* Maintaining the files: Ensures accurate filing of all information and agreement, so as to enable the company to refer to it in its relationship management with respect to rent payment, renewal, extension, transfer as well as to serve as a point of reference incase of any litigation
* Reports: To provide timely reports to the Management on occupancy cost, month wise cash flow planning and other KPIs.
* Store Development: To coordinate between the Landlord and Store Development Team for a smooth functioning of fit out of retail stores.

Requirements

The successful candidate must display the following skills and experience

* Degree holder preferably in accounts / commerce.
* 3 - 4 years experience in handling the administrative aspects of leasing in a property development or a real estate company.
* Proficiency in MS Office, particularly Word and Excel
* Ability to manage information and all documents related to Lease Agreements in a systematic manner.
* Knowledge of the legal requirements and terms and conditions related to Lease Agreements, with the ability to advise others on such issues accurately.
* Basic financial skills, to be able to manage all financial information related to lease agreements. The applicant should be able to prepare relevant documents relating to lease proposals, offers and counter offers.
* Knowledge of Maintaining Database & Electronic filing, sound knowledge of procedures & practices in local market
