The RoleThe RoleMain purpose of this position is to support the Legal Department for the Middle East Operations. The Legal Department relies on this role to carry out a variety of administrative, litigation, research and analysis, financial and budgeting tasks. This position is critical to the department and requires a deep understanding of the whole organization, in order to coordinate information, deadlines etc. for legal issues and lawsuits. Some flexibility of work hours is required, due to regional time zones and the ability to meet certain deadlines. This position is particularly important to the Legal Department, as the Legal Manager is relied upon by all other departments and globally for legal assistance, so it is critical to have a Legal Assistant / paralegal with extensive legal experience, strong administrative and managerial skills, in order to support the Legal Manager and act on their behalf as required. Litigation Conduct early and preliminary investigation of cases. Review facts of cases and ensuring relevant information is considered. Assist Lawyer to prepare for hearings, co-ordinating with outside counsel. Co-ordination of correspondence, updates, and all information required relating to Litigation cases. Organize and track files of all important case documents making them available and easily accessible to lawyers. Direct liaison with outside lawyers in Mid East Region. Update litigation lists to provide current status of all case matters including case hearing dates and status, deadlines, etc. Timely resolution of outstanding matters relating to all cases Basic Contract Reviews Assist attorney with contracts and agreements. Preliminary review of basic regulations in each agreement and advise business owner of any missing information that attorney will require to review the agreement. Divide contract reviews into categories. Financial Maintain Legal Dept Invoice/Budget/Accruals/Litigation/Risk Report, Reserves etc. Individual database kept for each supplier. Up-to-date data available of Legal Expenses. Supply Quarterly Reports for Legal Expenses Hard copy invoices retained on file. Maintain invoice log on Team Connect for all insured and uninsured cases. Maintain up-to-date details of outside counsel fees on database rate card. Liaise with outside counsel and Finance Dept. on all matters relating to fees and invoices. Research/Legal Summaries Research and summary assignments as instructed by Legal Manager. Identify appropriate legal articles and other materials that are relevant to the region Public Policy Research and maintain information relating to government relations, consumer and vehicle regulations, energy and environmental issues and other areas relating to Public Policy. Monitor under the supervision of supervisor newspaper articles to ensure all new legal requirements are known. Analysis Conduct research as required. Analyze and organize information and prepare written reports required by Legal Manager. Manage Legal Dept filing system in accordance with ILM procedures. Maintain Archive Database and files for all company Agts, contracts, Dealer financial reports, Dealer Agreements, corporate licenses, power of attorneys, trading licenses etc. Carry out regular training presentations and updates working with each department to ensure all “Business Documents” that may have legal relevance are maintained as hard copy with Legal and also on shared database. Further enhance departmental understanding of their requirements. Provide full administrative support to Legal Staff. Develop and maintain local legal website with legal processes and information relevant to all mid east employees. Complete all tasks relevant to ILM, Develop Recovery Plans for Legal. Ensure PRM’s are complete for Legal. Attend all meetings relevant to Legal Dept Develop and maintain the Legal Dept. Standard Operating Procedures. Liaise with Quality Dept to ensure Operational Excellence process mapping for Legal is in line with requirements. Maintain and update Legal Opinions Database site for Middle East Office, Egypt and Brazil. Maintain up to date status of active 1241 Cases. Liaise with Aftersales Dept. for any potential litigation claim and co-ordinate with outside counsel or dealer in case of lawsuits. Follow up on commitments of technical reports or information required for the prompt resolution of 1241’s. |
RequirementsRequirementsKnowledge: MS Office Word/Excel/PowerPoint and SAP. Legal terminology. Financial background and Paralegal understanding. Experience/Education: Paralegal Training, or at least 10 years experience in roles that demonstrate the skills required above. Competencies: Exceptional integrity, strong organizational skills, with the ability to work independently and communicate at all levels with all company departments required. Ability to document and present findings and opinions in a professional presentation. Familiarity with the various operations in the company. Stay informed of new developments in the law that affect the local area of practice. Be courteous and uphold the ethical standards of the legal profession. |
