The Role


The Role


Our clients, a boutique law firm with offices in DIFC and Dubai Media City require a strong Operational Manager with the following responsibilities

1. ADMINISTRATION

Establish and implement Office Policy and Budget for 2008 (as approved by Partners)

Set up Filing System; Establish System for opening and closing files; numbering system; invoicing system

Set up Document Management System including outgoing and incoming correspondence

Maintain and update accurate data base for all clients and ensure accurate backup system for office data on server

Maintain PCs and all related equipments and machines in perfect workable condition, update and procure updated systems and software as required for better management

Maintain and update website and implement “optimization” and monitor number of hits per month (at least 10 hits per month)

2. FINANCE / ACCOUNTING

Manage Accountant/data entry personnel

Prepare and implement Budget for 2007 and 2008; monitor income/expenses and maintain
expenditures within or below approved Budget

Review existing accounting system, time tracking/billing system and collection policy and implement more effective system according to office policy as recommended

Reduce outstanding invoices to 15% during any three months period and provide
Management with monthly outstanding report

Prepare and provide Management with monthly P&L reports and other reports, as may be required, together with recommendations to reduce costs

3. PERSONNEL

Management of Personnel; and maintain/update accurate employees’ files according to UAE Labor Law

Prepare current and projected Organizational Chart

Review current staff; assess abilities and training requirements and prepare Annual Performance Review;

Prepare job descriptions for employees and follow up on implementation;

Train support staff to bring to acceptable level for law office or secure training programs where required.

Requirements


1. Age: 30-40

2. Education: University degree major in Management/Admin/Legal

3. Experience: similar role in a an International Law Firm or a Multinational Company (UAE experience is a plus)

4. Languages: English (native) Arabic and/or French is a plus

5. Preferred nationalities by our client : UK, USA, Australia, South Africa

6. Presentable, strong character, team leader, works under pressure, proactive and can take decision on his/her own

7.Salary: AED 15k – 20k
