Employment: Full Time

My client is an international law firm with 26 offices around the world providing full service legal expertise to its clients. They are currently looking to recruit a Legal Secretary to support at least 3 people for their offices in Dubai.

The successful candidate will provide a wide-ranging legal secretarial and support function for internationally qualified lawyers. You will be required to mainly support 1 partner, 1 associate and the business development director. In this multi-national practice, a cooperative and flexible approach is essential.

- Producing all typing, dictation and secretarial services, correspondence and fax, including lengthy and substantial document production. Using the Firms technology, including Word, information systems, Internet research, expenses and bill preparation as required, with regards to the business development aspect there will be database entry and administration using Excel and preparing PowerPoint presentations.
- Organising and maintaining filing and systems, dealing professionally with clients and other visitors.
- Answering and dealing with telephone calls in a professional and courteous manner, ensuring calls are answered quickly, including telephones of other staff.
- Carrying out general office administration tasks, including making arrangements and preparing itineraries for business travel, photocopying, scanning and document preparation
- Communicating and liaising with colleagues on day to day matters
- Maintaining diary and schedules for fee earners, including travel arrangements and expenses
- Maintaining professional and efficient dialogue with clients when fee earners are away, ensuring close liaison with client care
- Organising and liaising with clients and other third parties for meetings and conference calls
- Assisting other secretaries where required to maintain adequate cover for fee earners at all times, including for heavy workloads and absence
- Flexibility may be required during particularly busy periods

Requirements

- You must be a team player with a professional and positive attitude. Be well presented and take pride in quality of work. Committed, enthusiastic, energetic and flexible.
- Fully proficient in word processing and document production (with fast accurate typing speeds), in particular Word with the knowledge to resolve complicated formatting issues, emailing documents, charts and tables etc.; PowerPoint; Database (or similar client database)
- Proficient in the use of Dictaphone Machine and the ability to transcribe long, lengthy complicated documentation would be an advantage
- Experience of law firms and secretarial responsibilities as a Legal Secretary
- Able to communicate at all levels with clarity, timeliness and appropriateness to achieve a positive outcome
- Able to manage assignments and organise work to meet their needs
- Understands sometimes complicated filing systems
- Pays attention to detail with the ability to complete assignments with minimal supervision Appreciates the need for accurate and error-free work
- Ability to optimise time, particularly when fee earners are absent
