Employment: Full Time

Salary up to AED 21,000

Our client is seeking an experienced Legal Secretary to work within their Corporate & Commercial team supporting two Partners and four Associates.

Main Duties and Responsibilities:
- Monitoring post and/or emails and dealing with external or internal telephone calls and queries as appropriate and taking messages for other members of practice group as required.
- Types letters, correspondence, presentations, reports and legal documentation. Proof reads all work to ensure that completed documents are delivered accurately and to an appropriately high standard.
- Drafts general correspondence, as appropriate.
- Pro-actively manages the lawyers' diaries, makes appointments, and coordinates internal and external meetings, to ensure all work activities are scheduled effectively.
- Arranges the booking of conference rooms, cars, refreshments, restaurants, and liaising with meeting attendees, both internal and external.
- Organising travel arrangements through the travel company, booking and confirmation of reservations, producing itineraries, dealing with related invoices, and expense claims.
- Organises document management, including closing of files, archiving and ensures that all relevant documents are filed electronically and paper-based, if required.
- Acts as the key liaison point for clients when the lawyers are unavailable offering appropriate efficient help and assistance to meet their needs.
- Pro-actively supports lawyers in their marketing and business development activities.
- Demonstrates an understanding of the end-to-end billing process and Elite (Financial system).
- Assisting the lawyers by liaising with the billing team, producing the relevant documentation and prompting lawyers to complete all necessary time recording.
- Reminding the lawyers to complete internal non legal and administrative tasks and assisting where necessary (e.g. recording lawyers on-line absence).
- Assisting across practice groups whenever he/she has spare capacity/as required.

Requirements

- Minimum 2 years experience working as a Secretary within a law firm.
- An advanced understanding of Microsoft Word 2010.
- A good working knowledge of Microsoft Outlook in order to send, receive and save attachments.
- An intermediate knowledge of Microsoft PowerPoint in order to create and edit diagrams and slides.
- A good working knowledge of Excel in order to create and edit spreadsheets.
- A good working knowledge of Filesite in order to create and save work within specified matters.
- To be able to use the OCR equipment and to convert documents to the relevant software.
- The ability to log your workload and timekeeping into the Elite Web Entry system.
- A good working knowledge of InterAction in order to create and maintain client contacts.
- A familiarity with legal terms and legislation.
- Good Audio typing.
