Job description / Role

Employment: Full Time

Objective:

The Logistic Support Assistant will be required to initiate and maintain relationships with suppliers track and deliver project equipment or materiel as directed by the Logistics Manager. This will include responsibility for liaising with Olive Group project staff to ensure any requirements for logistic support are identified, approved and procured in a timely, well documented and cost efficient manner and provision of G4 logistic support to OG Offices in Iraq and Afghanistan as an when necessary.

Main responsibilities :

- Work with the respective operations locations to ensure there is always sufficient equipment in place to support project needs and to maintain a ‘first line reserve’ for immediate replacement of unserviceable equipment, or to equip projects that activate at short notice, this will include stock monitoring to ensure that surpluses of unutilized equipment are not held and incurring Olive Group unnecessary costs

- Produce a monthly summary of equipment holdings and expenditure, including equipment deployed on task, equipment held in stores, expenditure on new equipment, expenditure on replacing equipment or maintenance and expenditure on transportation of equipment

- Freight Forwarder liaison for shipping activity, processing of all shipping documents and proof of deliveries in support to Logistics Manger

- Checking export / import requirements for all relevant countries

- Obtain suppliers Terms and Conditions for approval by Logistics Manager and/or Legal prior to purchase of logistics services

- Purchase order processing for logistics services

- Assist in maintenance of logistics suppliers’ database

- Create a filing system and manage archive documentation

-- Maintain and update logistics spreadsheets and reports

- Process purchasing paperwork and documents

Reporting to : Logistics Manager

Requirements

- Advance MS Word, Excel, PowerPoint and Outlook

- Strong organizational skills, particularly the ability to prioritize

- Strong interpersonal skills, including the ability to verbally brief senior management
- Experience of working in a pressurized environment essential

- Strong background in administration and supply essential

- Experience of office management

- Arabic speaker preferred
