Job description / Role

Employment: Full Time

The successful applicant is responsible for sales and marketing documentation, coordination between vendors, distributors and Accounts department for proper tracking of invoices and expenses.

Key Objectives:
By coordinating with the vendors/distributors and Accounts department, as well as generating report, the job holder will fulfill the need of the division in terms of tracking expenses.

Position Responsibilities:
- Advising and coaching SGE marketers & Sales (of all divisions) on the up-to-date policies related to the correct execution and documentation of marketing and sales deduction activities
- Training channel partners on the optimal processes and the required documentation to be associated to marketing activities and sales deduction on seminars organized by marketing managers
- Creating Projects, PPs, EOs, and PRs in the ERP system as per the Line Manager followed by marketing managers input and directions of all divisions
- Checking that every Project, PP, EO and PR (Marketing) & Sales Conditions (Sales) instance in the system comes with the necessary documentation as per the latest SGE compliance guidelines. In case documents are missing or incomplete, the documents pack must be returned to the marketer & Sales in charge, highlighting what corrective actions are required
- Tracking of vendors/partners submission of invoices and required evidences and ensuring such documents are submitted as per the latest compliance guidelines. However it is not part of the Marketing Planning responsibilities to directly follow up with the distributors/vendors for invoices not received or for additional supporting documents (if rejected/not accepted due to insufficient evidence). Such follow up is responsibility of the marketing manager and its part.
- Follow-up with the marketing managers & Sales in charge for invoices and evidences of approved activities
- Maximizing quality of input (from a compliance standpoint) in the ERP system, and minimizing the number of rejections by team leaders, finance teams, or HODs due to compliance issues
- Consolidating activity based marketing forecasts from departments and tracking the actual expense based on forecasts
- Updating the Marketing Budget and Expenses tracking sheets
- Updating the Budget (SGE) analysis reports on monthly basis
- Generating activity-wise reports on monthly basis

Requirements

- Marketing Experience of 2-3 years
- Bachelor in Marketing or relevant disciplines
- Good communication skills especially good written and spoken English is absolutely a must.
- Fluency in Arabic language is not a must, but will be an advantage.
- Ability to communicate and respond to common inquiries from sales and logistics department, customers, or members of the business community.
- Ability to simplify and communicate complex concepts.
