Focus International are expanding its Dubai based team and require an excellent, high-calibre administrator to join the regions leading FMCG food & beverage recruitment specialists. This is a really important position in the business, proactively supporting the efforts of an ambitious, successful team of consultants. You will have excellent administrative skills, coupled with strong interpersonal abilities and a strength of character that will allow you to thrive in a rewarding but challenging environment. Trading in the region for six years, Focus International is entering its third year of operation from offices in Dubai and is part of a UK business that has been trading for 25 years. You will assist with all day to day activities as well as strategic responsibilities for a vast array of projects as and when they appear, a key linchpin in the business.

The role of Office Administrator will see the right candidate effectively and efficiently supporting a team of experienced, driven and determined consultants. Your role will be to proactively support these consultants and where applicable, other members of the wider business in the attainment of both personal and business objectives.

So whats the job?
You will be responsible for all administrative activities in the business and be at the forefront of all customer contact, writing reports, and client summary documents with accuracy and speed. You will have to manage the work load of a number of driven and focused consultants demonstrating confidence, and experience to help them understand the daily and weekly priorities of the office. In the support of your team you will be specifically responsible for the following tasks which are all highly sensitive and frequently confidential:

- Produce documents, correspondence and presentations, including candidate CVs into the company format, which are accurate and appropriate
- Update Candidate/Client records on the database.
- Social media maintenance and interaction.
- Answer the telephone and screen calls, and be proactive in dealing with Candidate and Client queries, in a professional manner at all times as the first port of call.
- Meet and greet all visitors in a professional manner.
- Handle visas, travel itineraries, accommodation and all documentation for Consultants/ Directors and Clients.
- Organising Consultant and Client interviews.
- Managing and supporting Consultants with specific responsibility for their work, including diary management.
- Carry out background research, produce documents, data analysis, reports and presentations as requested by a Consultant or Director.
- Liaising with suppliers to enable the smooth running of all services in the office.
- Keep the office and surrounding areas in a tidy and organised manner.
- Support the Directors, Consultants and other Administrators in any reasonable tasks they ask for assistance on.

In essence we are looking for someone who can grow as the business does, taking on a true office management role and also helping with the resourcing process, helping to source new Candidates and update existing Candidate records on our IT system through the proactive search of external websites and other channels. And also assist in research projects to build knowledge of food companies and their employees both geographically and by function that could directly feed into our Client base. To achieve this full training and support will be given.

Requirements

- Already have experience of office administration in a fast paced, professional environment
- Have good working knowledge of Word, Excel, Outlook and PowerPoint
- Be confident and articulate, with a high level of literacy and attention to detail
- Have strong project management skills and experience, and be a natural Completer Finisher
- Clearly demonstrate the ability to be adaptable to rapidly changing priorities
- Be smart and professionally presented
- Have an excellent telephone manner
- Be a team player with a strong Can Do attitude
- Be flexible in approach and be able to cope with a diverse daily agenda
- Fluency in the English language (reading, writing & speaking) is essential
- Be able to demonstrate real success in your previous positions and have a desire to progress and develop as the business grows
