Job description / Role

Employment: Full Time

Our client is looking for a flexible, self starter with initiative to work in fast paced environment in the DIFC, Dubai

Duties and responsibilities include but are not limited to:

Manage office supplies – stationery, coffee etc.
Ensure timely payment of invoices to suppliers
Keep record of client inward payments and report to Managing Director for credit control purposes
Liaise with DIFC Government Services office in relation to visas, ID cards and any other employee matters
Responsible for petty cash and reimbursement of expenses
Maintain electronic record of all expenditure with regular reporting to Managing Director
Liaise with accountant and provide all necessary documents for monthly accounts to be produced
Maintain electronic record of all client deals
Monthly financial and performance reporting to Board of Directors
Administration of group medical insurance scheme – joiners and leavers, submitting of medical claims and liaising with insurance broker
Maintain record of employee leave
Ad hoc analysis of finances, client data etc.
Oversee the Receptionist, sit down with her daily and plan the day head together with tasks to be done for the day and week.

Data entry
Cover for Receptionist during lunch and after 5.30pm
Occasional personal work for directors e.g. restaurant, hotel and flight bookings
Record guest list for annual client event and other adhoc events
General office administration e.g. filing, printing, organising
Take, type and circulate minutes for quarterly board meetings

Requirements

Ideally you will have worked as a PA/ Office Manager in Dubai or have just arrived in Dubai with similar experience. We are looking for a western candidate with excellent English and attention to detail. You will have good energy and have the outlook that nothing is a problem and happy to work in a small but fun office. You will take pride in your work and who you work for as we are looking for a team player with a great attitude.
