Job description / Role

Employment: Full Time

The Group Office Manager will organise and coordinate all office operations and procedures to ensure the smooth day to day running of all offices across the group within Al Tamimi Investments.

Specific Duties and Responsibilities:
• Source vendors required for maintaining the office and ensure contracts are competitively priced.
• Manage the relationships with key office suppliers for stationary & general office supplies to ensure cost effectiveness and within budget.
• Maintaining all aspects of office administration, such as organizing office inventory and ensuring all office equipment is working correctly (copier, scanner, fax machine)
• Act as main liaison between the facilities management of the office buildings and the company.
• Ensure offices are maintained to a consistent level across the group & coordinate repairs as necessary.
• Work with Human Resources to help coordinate the induction of new hires including the handover of assets (acting as the liaison with IT), laptop & access cards as required.
• Setting up of all necessary computer and telephone equipment for a new member of staff
• Manage the renewal of the Trade licences, lease agreements and all office related insurances are completed in a timely and cost effective manner.
• Manage DEWA and Telephone/Mobile phone bill payments with the Accounts team. Act as the point of contact with DEWA and telecom operators for the group.
• Manage car hire across the group and negotiate preferential rates for ATI
• Assist with the organising of office events as required
• Manage the relationship with the travel agency & negotiate competitive rates for the group.
• All administrative aspects related to the smooth running of the offices across the group.

Requirements

• Ideally you will have between 5-10 years of office management experience with excellent administration skills, and very strong organizational skills with tact and diplomacy, yet decisive.
• Excellent interpersonal skills with the ability to appropriately communicate information to all levels of the organization
• The ideal candidate will be a proactive self-starter, who uses their initiative in difficult situations and demonstrates the ability to manage deadlines effectively.
