The Role


The Role


The Office Manager will be responsible for administrative processes fluidity and efficiency.

Main duties & responsibilities include, but not limited to:

• Review and filter incoming and outgoing calls, faxes, postal mail, couriers, documents and follow up with all levels of contacts, ensure a timely flow of information

• Arrange and coordinate travel logistics such as flight tickets, visa applications, hotel reservations, car rentals, etc. and maintain timely flow of information with all parties

• Manage administration for field work and consultancy including; requesting project funds, project tracking, collating and invoicing consultancy contracts

• Follow up with project milestones, coordinate among parties to realize tasks to deadline

• Administration of new employee visa applications – residence visa and work permit

• Managing and administering staff leave and absences records

• Maintain meetings calendar, arrange appointments and organize all kinds of logistics to run the projects

• Maintain and organize business files and ensure data accuracy

• Locate, contact and agree with suppliers to buy all kinds of goods and services and coordinate all internal procurement activities to meet the office and employee demand

• Coordinate and supervise office maintenance, repair and cleaning

• Supervise junior office personnel

• Coordinate other tasks as assigned

Qualifications

• University degree with relevant educational background, such as business management or office administration or a combination of equivalent training and experience
• Min. +4yrs of working experience in a office manager or business support role in Dubai
• Multinational company experience is a strong asset, should be able work with diverse cultures and organizations
• Solid organizing and planning skills with ability to multi-task effectively
• High level of personal responsibility, reliable and persistent
• Positive attitude, good communication and interpersonal skills
• Fluent in English and preferably in Arabic
• Proficiency in MS Office applications

**MUST BE BASED IN UAE and preferably Dubai.
**Minimum Age 25 / Maximum Age 35
