The OM is a key member of the Management Team who is responsible for the operational planning and support to the business that underpins the Teams ability to deliver successfully. The OM is directly responsible for the support services i.e. IT, reception and HR.

Requirements

Primary Objectives of the OM
• Carrying out and attaining the mission and the goals of Executive Solutions (ES).
• Development of a high performing Support Services Team (SST).
• Development of an employee-oriented culture that emphasizes quality, continuous improvement, customer focus, employee engagement and development, and high performance.
• Health and safety of the Team.
• Personal ongoing development.

Primary Responsibilities of an OM
Human Resources Management
• Plan and co ordinate staffing levels; create a talent pool and manage the manpower plan for the business.
• Work with the Managers to recruit, interview, select, hire, and employ team members as required, including
• Ensure all HR processes and systems support the productivity of the Team
• Keep the HR policies and procedures up to date and update all the Team as required
• Provide oversight and direction to the employees in the ES Team in alignment with the organization's policies and procedures.
• Maintain and continuously update as required job descriptions, career pathways, commission programs, remuneration policies etc.
• Plan and manage the new employee on boarding process including visa etc.
• Plan and manage the exit process for employee’s leaving the business, including the visa and settlement process etc.
• Foster a spirit of teamwork and unity among the Team that allows for disagreement over ideas, conflict and expeditious conflict resolution, and the appreciation of diversity as well as cohesiveness, supportiveness, and working effectively together to enable each employee and the division to succeed.
• Consciously create a workplace culture that is consistent with the overall organizations and that emphasizes the identified mission, vision and values of the organization.
• Lead employees using a performance management and development process that provides an overall context and framework to encourage employee contribution and includes goal setting, feedback, and performance development planning.
• Lead employees to meet the organization's expectations for productivity, quality, and goal accomplishment.
• Provide effective performance feedback through employee recognition, rewards, and disciplinary action, with the assistance of Human Resources, when necessary.
• Maintain employee work schedules including assignments, job rotation, training, holidays and paid time off, and cover for absenteeism,
• Maintain transparent communication. Appropriately communicate organization information through division meetings, one-on-one meetings, and appropriate email, IM, and regular interpersonal communication.

Support Team Management
• Manage the overall operational, budgetary, and financial responsibilities and activities of the Support Team, i.e. IT, Office management, overheads etc.
• Plan and implement systems that perform the work and fulfill the mission and the goals of the Team efficiently and effectively.
• Plan and allocate resources to effectively accomplish the work to meet the ST goals.
• Plan, evaluate, and improve the efficiency of business processes and procedures to enhance speed, quality, efficiency, and output, for the business.
• Make business decisions that are financially responsible, accountable, and justifiable in accordance with organization policies and procedures.
• Establish and maintain relevant controls and feedback systems to monitor the operation of the ST.
• Review performance data that includes financial, sales, and activity reports and spreadsheets, to monitor and measure ST productivity, goal achievement, and overall effectiveness.
• Manage the preparation and maintenance of reports necessary to carry out the functions of the ST. Prepares periodic reports for management, as necessary or requested, to track strategic goal accomplishment.
• Communicate regularly with the DMs, PMs, the Director, Managing Director, and other designated contacts within the organization.
• Perform other duties and responsibilities, as assigned.
Process improvement
• Review and develop all processes in alignment with ‘the lean approach’ to improve the productivity for the Team.
Reporting and communications
• Generate reports to submit to Director on a weekly basis
• Monthly and quarterly reporting and overview
• Develop business metrics to measure business and service effectiveness
