Besides Toyota and Lexus, AF Motors also holds exclusive franchises for some of the world's top  automotive brands. To support these world-class franchises, AF Motors have an established network of showrooms and service & parts centres throughout the UAE. We are currently looking to recruit an Order Admin Executive to join the Sales, Planning & Distribution team in Dubai. The incumbent will be responsible for the timely preparation of Factory Order requirements from point of Model creation to Purchase Order processing and valuation for 100k + units per annum. The key responsibilities of this role include: Model Table Maintenance. Creates and maintains accurate model database (external & SAP) ensuring data encoded as necessary. Maintain Katashiki equivalent model data in AFM databases Order Preparation. Supports the product ordering executives in preparing all necessary data for generation of Showroom Order template in accordance with factory order parameters, by manufacturing source Order Consolidation - Consolidates Showroom inputs and prepares final summary document. Monitors and analyses level of demand within Distribution Channel, by volume and value, noting and reporting exceptions out with the Order plan Order Update - Provides feedback to Sales Operations / Logistics Team on Order situation. Ensures timely communication of pipeline product availability Fleet Claim Administration - Supports the preparation of fleet and other support claims for the factory Purchase Order Maintenance - Maintains pricing file in SAP with latest TMC price lists. Creates Purchase Orders in SAP and maintains accurate vehicle cost provisions (C&F, Sum Insured, Customs Duty, LC Charges, Legal fees and Clearance charges). Raises requisition for Letter of Credit. Ensures conformance with established guidelines and and agreements to optimise profitability Administration - Prepare and develop reports and data encoding as needed - daily /weekly etc. Monthly reports to include TMC (Sales, & Stock plans). Co-ordinates AFM performance report to a) TMC b) TMC Regional Office - Bahrain. Liaises with TMC, AFM Management, and Sales Operations on activities within AOR |
RequirementsRequirementsTo be successful in this role, you must have the following skills and experience:* Minimum College Graduate with valid degree* Knowledge of Supply Chain / Process Mapping * Knowledge of SAP (Material Management) * Must be fully conversant with Microsoft Office and advanced in Excel * Understanding of Pricing structures, cost composition etc* Understanding of Purchasing & Order Planning plus Market and dealer requirements* Must be able to handle variable workloads in a dynamic environment with extreme fluctuations from light to heavy loads especially during month ends |
