Employment: Full Time

Our client is the global leader Media Services Group offering an integrated solution across core services such as strategic media planning, negotiation and execution and specialist services, which includes research and insights, digital solutions, sports and entertainment sponsorship consultancy, content creation and brand-driven creative campaigns. Over the years, they have become a global company serving customers across a range of industries in more than 115 countries, with a significant presence in every major market.

They are now looking for a dynamic and highly motivated PA to provide an efficient and responsive administrative and organisational to the Managing Director, helping him to manage and prioritise his time.

Job Overview:

• Manage and maintain the MD’s diary and email account.
• Filter emails, highlight urgent correspondence.
• Ensure busy diary commitments, papers, and travel arrangements are managed effectively.
• Conduct weekly diary meetings with the MD to discuss upcoming engagements, invitations and other requests.
• Schedule on behalf of the MD meetings between him.
• Coordinate travel and accommodation requirements in connection with others and ensure arrangements in place for the MD match his requirements.
• Filter general information, queries, phone calls and invitations to the MD by redirecting or taking forward such contact as appropriate.
• Manage the process of calling for briefing on behalf of the MD from start to finish ensuring that he is fully prepared for all engagements.
• Keep and maintain an accurate record of papers and electronic correspondence on behalf of the MD.
• Prepare correspondence on behalf of the MD, including the drafting of general replies.
• Minute general meetings as required and complete research on behalf of the MD.
• Keep and retrieve files.
• Ensure guests meeting with the MD are well taken care of.
• Provide a service that is in line with the MD’s work habits and preferences.

Requirements

Skills and Qualifications:

• Demonstrable experience in an administration/executive assistant/PA role in a highly pressurised environment requiring tact, judgment and discretion in handling internal and external contacts (essential).
• Experience of diary management/researching and booking of travel and accommodation (essential).
• Experience of successfully working with senior management (essential).
• Must have minimum 5 years’ relevant experience.
• Proficiency in MS Office (Word, Excel, PowerPoint).
• Exceptional skills as Team Player, Self-Starter, Result Driven and Out of the Box thinker in a cross cultural and fast paced environment.
• Demonstrates an excellent leadership, time management, organizational and reporting skills.
• Superior Level Communication and Interpersonal skills.
• Western or native English speaking candidates ONLY.
