The Role


The Role


This position will provide primary administrative and office support to the VP Resource for MER and the wider Resource Team. This is a technical team managing subsurface activities in Oman and elsewhere in the Middle East.

Team Details:

Within the Oman Muscat office the VP Resource runs a technical team comprising 2 Senior Managers and around 16 staff. However, during 2013 this is expected to grow to 4 Senior managers and around 40 staff. For context, parts of the Resource team are also based in Abu Dhabi and London. Staff in other locations are out of scope for this role with the exception of when they occasionally visit the Oman office when the PA may need to assist with meeting arrangements or provide support.

*Provide secretarial / administrative support to the VP Resource and Senior Resource Managers in Oman.

*Organise calender, calls, e-mails and meetings for VP Resource and Senior Managers.

*Assist in preparing expenses and clearing of credit statements for VP Resource and Senior Managers.

*Schedule and coordinate internal and external meetings for VP Resource and Senior Managers.

*Assist Resource / Subsurface visitors with their itineries.

*Coordinate Oman Subsurface team travel arrangements.

*Provide support with meeting facilities and meeting material including pre-read and presentations.

*Assist with document management, filing etc… in line with document management standards provided by Subsurface Data Lead.

*Provide point of contact for VP Resource and Senior Managers for requests relating to office services and support (phones, laptops, etc…)

*Observe and practice safety awareness in the work environment

Diploma

Minimum 5 years experience in a similar role

Solid experience with the organization of travel (flights, hotels, cars)

Experience in providing support to more than one manager

Experience in helping facilitate and organize meetings

Able to make decisions

Experience reconciling expenses
