Job description / Role

Employment: Full Time

* Participate in Strategic Project Management either as facilitator or actively as owner of the Portfolio Management process.
* Monitoring and Reporting on active projects/programs (following up project until completion), and reporting progress for strategic decisions
* Assist in monitor the Key Performance Indicators that will meet marketing objectives and mission.
* Track the status of all Marketing & Communication projects by using best practices on Marketing Information Systems.
* Assist in monitoring marketing and communication development and achievements across AZF and its member organizations.
* Integrating schedules across related programs and projects and track key milestones
* Develop and manage the processes and methodologies pertaining to the management of marketing projects and plans
* Agree on Program deliverables and submit to Head of Marketing PMO & Strategy for sign-off by updating his/her superiors on key risks/issues related to the departments programs and initiatives
* Manage communication related to departments programs to all participants and stakeholders
* Ensure that performance management and reporting on all programs is aligned with the overall marketing & Comms Strategy roadmap
* Keeping an eye on progress of all orders coming into the PMO, monitoring progress and coordinating delivery dates
* Maintaining financial controls and systems for recording, monitoring, forecasting and budgeting of all program and project expenditure.
* Fully supporting projects including administration, organization of project meetings and minutes.
* Organizing and facilitating closure of project and complete benefit analysis at the end of the project.
* Responsible for tracking performance against new SLA’s, to ensure there are no delays for critical work-streams.
* A weekly, bi weekly performance report and monthly Project Status report must be produced.
* Review status reports and agree on corrective measures
* Manage Program communication and progress reporting and advise accordingly.
* Lead team thinking on critical Program issues, risks, interdependencies, communications, project additions, and status reporting.
* Agree on Program deliverables and submit to the Head of Marketing PMO & Strategy for sign-off
* Manage communication related to departments programs to all participants and stakeholders
* Ensure that performance management and reporting on all programs is aligned with the overall marketing & Comms Strategy roadmap
* Assist in the management of key initiatives and programs supporting the strategic objectives of the organization.
* Develop the PMO Charter
* Develop and assist in managing the reporting process to maintain status update and reporting to Head of Marketing PMO & Strategy by disseminating and screening of information received from the Heads/ Managers of each business unit (Report activities, weekly, bi-weekly monthly-quarterly)
* Prepare Status reports
* Review status reports and advise on corrective measures
* Determine methodologies for repeatable processes
* Update and improve project methods
* Define and maintain standard processes within the Marketing Departments to ensure projects meet time/cost/quality targets.
* Ensure that latest quality standards are followed and enforced within the Department
(Quality processes engineering and Monitoring skills to be applied)
* Assume any other responsibilities as directed by the direct supervisor.

Requirements

* Preferred PM certification (PMP Certified or PRINCE2)
* Proficient in MS Enterprise Project Management, MS Office and Project Management tools and techniques
* Possess extensive knowledge and expertise in program/project management, portfolio management, systems development methodology
* Provide project management resource to directly manage programs and projects across the organization, delivering within the agreed scope and timescale.
* Be able to communicate effectively in writing and verbally to a wide range of people at all levels including communicating complex technical issues to a non-technical user base
* Handle multi-tasking environment, meet deadlines, and work with a wide range of sensitive and confidential issues
* Experience in working within fast-paced, complex, dynamic, multi-cultural business environment
* Develop positive relationships with managers and staff to enable the PMO to provide support including facilitation, tracking and reporting on projects, and training
* Require little supervision and resolve problems that arise consistent with program philosophy
* Strong written, verbal, and diagrammatic communication skills in English ( Arabic is an advantage)
* Excellent oral and written communication skills as well as excellent presentation skills with ability to conduct presentations comfortably to large groups
