Employment: Full Time

Job Summary
The job is primary a junior role without leadership responsibility. The profile requires great attention to detail and a keen sense for precision during the processing of purchase orders and their proper tracking and reconciliation.
The profile will be responsible to trace and validate all relevant information of purchase orders generated by Procurement in the system and ensure proper allocation of their respective costs and relevant details.
To assist the Payables Supervisor in sorting, tracing, recording, and following-up on payments and processing status of each purchase order by type. Ensure proper follow-up with Procurement and mostly the sites and/or stores on the delivery of materials and equipment proof, in good order, to the designated locations before closing purchase orders.

Major Duties & Responsibilities
• Receive and verify the relevant backup and supporting documentation for every purchase order and its relevant purchase request.
• Verify adequate coding of purchase orders along with the proper signatories.
• Verify that the transactions on each purchase order are in line with the set procurement and accounting verification and control procedures.
• Ensure that the batches received are properly recorded and properly traced.
• Ensure daily reporting of volume received versus volume processed, released, paid, closed.
• Raise the red flag for missing elements of a healthy purchase order pack to the payables supervisor for further action.
• If the supervisor is not available, then highlight to the Chief accountant.
• Regularly update the Accounts Payable aging report for the Payables Supervisor to verify to initiate term payments as needed.
• Communicate payable aging status to the Treasury Supervisor for cash flow purposes.
• Prepare a payment voucher necessary for the bank.
• Maintain vendor archiving and filing for quick referencing and by vendor category or vendor posting group.
• Relay the purchase orders ready for immediate payment to the treasury supervisor for either online payment or check printing or bank transfer.
• Ad-hoc tasks required by team members and/or higher management.

Requirements

Educational Background Required
Recognized university degree from a recognized institution, and recognized by its respective ministry of education and higher educational authorities.
Preferable an accounting and financial major.

Languages Required
• Fluency in English written, spoken is an absolute must.
• Fluency in Arabic is a plus, but not vital.

Work Experience Required
2-3 years in accounting and ideally within the accounts payables function preferably from a previous contracting environment.
Previous knowledge of maintaining payables ledger entries as required.

Technical Skills Required
• Previous and up to date hands-on working knowledge with any high ranking and internationally known ERP product such as SAP, Dynamics, Oracle, IFS, demonstrating a basic understanding of how to process information correctly into a system.
• Advanced user in Excel.

Under exceptional cases, contact with suppliers and other third parties could be required if and when needed
