Al-Futtaim is regarded as a pioneer in the Gulf region's Automotive industry and encompasses every aspect of the Automotive business; from passenger and commercial vehicles and construction equipment sales and service, to used car sales and rental and leasing.

Al Futtaim Auto Center (ALAC) is part of the Al Futtaim's Automotive Division. ALAC has six divisions comprising of Body Centers - Toyota & Lexus within UAE, Fast Repair, Customs & Classics, Auto Equip, Tyre Zone and Fastfit. ALAC offers end to end solutions in aftersales for both business to business & retail customers.

We are looking to recruit an experienced Personal Assistant to join the ALAC - Bodyshop and AutoEquip team. The main purpose of the role is to provide Administration and Secretarial services to the General Manager - Bodyshop and AutoEquip, andto provide statistical information to the General Manager. Administer supply contracts. Maintain petty cash.

The main responsibilities of the role are as follows:
- To raise LSRs and follow-up for LPOs to ensure timely delivery for NSD and Branches.
- Co-ordinate and process LPOs, delivery notes and invoices for Lubricant, Uniform, and Paint Supplies etc. to all branches and forward to Finance Department for payment.
- To carry out all Secretarial and Administrative functions for the General Manager, NPD, and NSD staff including attending to telephone calls, maintaining appointments, arranging for business lunches / dinners, preparing travel itinerary / ticketing / expense report, transport, hotel reservations etc.
- Arrange hotel accommodation, transport, visas and purchase gifts for principal's representatives.
- Process utility / fuel bills and arrange necessary payments. Maintain a record of personal calls, prepare statements and forward to Finance Department.
- Word process all inter-department memos and letters to the principals, customers etc. from audio, copy or shorthand input.
- Maintain files for all incoming and outgoing correspondence including confidential files of staff / managers.

Requirements

The ideal candidate will have the following skills and experience:
