Job description / Role

Employment: Full Time

Our client in the medical/healthcare industry are looking for an experienced PA and/ or Office Manager to start as soon as possible. This position will be of key importance within the organisation and the successful candidate must have previous secretarial and administrative experience within a fast-paced customer facing environment.

You will provide an efficient and responsive administrative, organisational, and logistical service to the MD, consistent with the operating practices of the business.

Administrative support to Managing Director
- Provide efficient and effective support to the MD
- Maintain diary for MD to ensure timely and efficient meetings and travel
- Travel coordination
- Expense Reporting
- Collating and formatting of information (e.g.: business plans, monthly reports)
- Maintain the highest level of confidentiality
- Any other administrative support as discussed and agreed with the MD

Administration Support to Board Members
- Organize board meetings as required (minute-taking, agenda preparation and follow-up of action points)
- Prepare presentations and other information, on behalf of the MD as required
- Accommodation, travel and meeting arrangements for all MD visitors and Senior Management visits to Dubai and Middle East
- Point of contact for MD&D ME Office, particularly in the absence of all/any Board Members
- Support to Board Members within sphere of their work with MD
- Any other administrative support as discussed and agreed with the Board Members

Office Management
- Work with the relevant departments to ensure compliance with corporate policies and procedures and to ensure Health and Safety standards are maintained
- Monitor accommodation requirements for visitors to Dubai
- Receipt checking, approval and submission of supplier invoices relating to office management
- Ensure compliance with corporate standards for printing and updating of logos
- Assist in obtaining required documents for the renewal of DHCC Trade License

Inter-Company Participation
- Organize activities and social functions across all sectors such as:
- Annual Company Meeting
- Town halls
- Year-end corporate lunches / parties
- Family Day
- Organize quarterly Inter-Company Leadership Meetings

Requirements

- Internet and PC proficiency with advanced MS Word, Excel, PowerPoint & Outlook skills
- Related tertiary qualifications - well respected although not essential for this role
- 3 to 5 years proven administrative assistant experience
- Demonstrated experience with MS Word, MS Excel and related programs
- Demonstrated experience with high efficiency and accuracy of typing and word processing
- Experience with diary and travel management
- Adobe Photoshop, In Design knowledge would be highly regarded
