Job description / Role

Employment: Full Time

- Manage the diary of the Partner; schedule appointments, prepare schedule for following day detailing the client, time and location of all appointments.
- Prepare all documentation or files required for each days schedule.
- Take all phone calls for the Senior Managing Partner and respond appropriately to all requests.
- Diary management and coordinate all travel arrangements.
- Confirm meeting times and locations for all scheduled appointments.
- Aware of all key clients and contacts.
- Review email daily and priorities accordingly; Ensure partner is aware of important emails and responds or takes action as required and. Prepare responses to emails as appropriate.
- Provides secretarial support to Committee meetings of boards that Partner is a member of as required.
- Proofreading legal and general correspondence as well as firm documents for errors and consistency.
- Running conflict checks and compiling KYC and risk assessment files for Partners review.
- Reviewing new forms, assessing compliance requirements and advising on any outstanding documents; liaising with compliance officer as necessary.
- Maintaining filing through online document management system as well as hard copy filing.
- Updating and maintaining Partners time sheet and billing entries on Elite timekeeping software.
- Assisting with monthly billing processes, follow up actions and any related queries.
- Handling local and international travel arrangements, from searching for and booking flights and hotels to coordinating networking meetings.
- Responsible for marketing activities, logistics and communications for the Firm's Jordan and Iraq offices such as preparing firm and attorney profiles, website listings and award submissions (Chambers, IFLR & Legal 500).
- Organizing firm seminars and conferences, including invites, catering and agendas.

Requirements

- Bachelor's Degree or equivalent
- Minimum three-five years experience in a professional services firm
- Outstanding interpersonal and organizational skills
- Extremely proactive and must be able to work with tight schedules
- Native English speaker
- Office applications (Outlook, Word, Powerpoint, Excel)
