Job description / Role

Employment: Full Time

Role Purpose:
To provide support to the Regional Compliance Officer, MENA. This will include diary management, assisting with the preparation for Audit Committees, RMC,, ORIC and various other committee meetings, preparing presentations and travel arrangements Ensuring that the RCO meets deadlines for the submission of repots to the regulators and Group Compliance. In addition, to provide support for the Regional team in respect of travel arrangements, etc.

Principal Accountabilities:
Impact on the Business
•Manage the RCO’s diary, including planning for RCO Reviews within the region
•Liaison with Regional AML and Regional Head of Advisory in respect of the foregoing
•Arrange monthly ACO Calls and take Minutes for circulation
•Set up monthly 1 – 1 calls with all ACOs in the region
•Provide administrative support for the RCO in a number of areas, including the arrangement of annual visits by regulators

Customers / Stakeholders
•Required to liaise with Compliance colleagues both in the MENA region but also in Group Compliance
•Provide additional support to RCO such as Administration for projects to include but not limited to Operational Risk, Executive Management Meeting, HBME Audit Committee

Leadership & Teamwork:
•Work with the Regional Compliance department in all areas to provide relevant support to other members of the team. Specifically but not limited to making travel arrangements and operating a robust ‘bring forward’ system.
•Work closely with Manager the Assurance team in order to assist with timeliness of HSBC and regulatory reporting requirements.
•Assist in the arrangements for Compliance training within the region when necessary
•Assist with the CRO/ACO Conference hosted by the Regional Head of Risk

Operational Effectiveness & Control:
•To make sure RCO is properly prepared for meetings, has completed any Action Points from previous meeting and has documents available prior to meetings.
•Perform according to Group standards i.e. BIM, GSM and FIM
•Ensuring that RCO is able to meet obligations regarding timing of submission of reports/contributions to committee papers

Major Challenges:
•Due to the increased demands from regulators around the World, MENA is being asked to contribute to the corresponding number of demands from GMO as well as local regulators. The job holder should be able to assist the RCO in distributing requests to the regional ACOs and operate a reliable follow up system to ensure responses are received and collated. prior to submission to the RCO.

Role Context :
•Working directly for the RCO, MENA you will be required to effectively manage confidential and sometimes sensitive information and ensure appropriate level of storage and archiving.
•Operating within the Regional Compliance team within Emaar Square, this is an office based role
•The ability to act on own initiative is required, i.e. how to re-prioritise certain issues as others arise.
Observation of Internal Controls
•Help in maintaining HSBC internal control standards, including timely implementation of internal and external audit points together with any issues raised by external regulators.

Requirements

Knowledge & Experience / Qualifications:
•At least 3 years previous Personal Assistant experience a must.
•Working knowledge of Microsoft Excel and Microsoft Word is essential.
•Good communication skills, willing to work as part of a team and with a ‘can do’ attitude is vital to this job role.
