Job description / Role

Employment: Full Time

A leading bank in the DIFC are looking for a European personal assistant with extensive experience in diary management, travel arrangements, patient and able to multitask.

The role is a TEMPORARY, 6 month contract with potential to become permanent - starting in September.

Responsibilities to include (but not restricted to):

Arrange and manage diary of Investment Solutions Director & Wealth Planner Director.

Coordination of all meetings internal and external with clients and prospects including scheduling of Video Conferences, Conference calls, meeting room bookings, restaurant bookings, complication and distribution of meeting materials.

Arrange and coordinate travel arrangements for the teams. (Flights / Hotel / Schedules)

Prepare Account opening forms for KSA team members, KYC coordination and connecting with clients as and when directed by the CA to ensure documentation is complete.

Liaison with all booking centres for new account openings follow up and related documentation.

Arranging quotes with insurance brokers as part of Wealth Planning activities.

Manage Wealth Planning Pipeline, AUM (assets under management) and revenue through use of database and by liaising with Guernsey Trust Office.

Prepare and submit expenses for each team member.

Arrange and coordinate road shows / client events for incoming visitors relating to their team as required.

Answering phones, screens calls, taking messages, and referring callers.

Reporting to: Investment Solutions Director, Wealth Planner Director
Team Assistant to: Investments Team & KSA Team

Requirements

The successful candidate must have at least 3 years' PA experience.

Must also be European and only FEMALES will be considered. Excellent English- impeccable written and communication skills is essential; extensive experience in diary management and travel arrangements is a MUST.

Multitasking is important as she will be looking after a team of 7 Directors.

There are additional requirements to do with account opening documentation, but she will receive full training on this.
