Job Summary

As a Portfolio Manager you will be required to deliver on the mission of providing the best property management service within the UAE by managing the existing systems, developing better systems, better customer service, better maintained properties, better tenant satisfaction, high returns on investment to landlords and higher staff satisfaction.

Main Responsibilities

1. Developing business and increasing profit for your business unit - preparing proposals and meeting with clients to secure the business. Building long term relationships with landlords.

2. Monitoring the supporting the Property Supervisors and ensuring that their work is carried out efficiently and effectively. Consistently monitoring their performance, appearance and conduct to ensure that it is to a professional standard at all times. Carrying out non-routine or surprise inspections to ensure that professional standards are being maintained. Resolving issues as they occur, and referring to the Head of Property Management for more serious problems or issues as they arise.

3. Operating within the budgetary framework established for your building or portfolio to ensure compliance with those requirements. This will include, but is not limited to, controlling overtime expenditure for any security staff, and controlling the use of all office and building equipment. This will ensure efficient use of assets, and that adequate cost controlling measures are in place and monitored.

4. Achieving maximum revenue on behalf of the landlord by ensuring, in conjunction with Better Homes Leasing Agents, that all apartments carry as high an occupancy rate as possible. Liaising with the Leasing Department and the Marketing Department in this respect for advertising activities or opportunities.

5. Acting as the representative for both the landlord and Better Homes in establishing and maintaining harmonious living conditions for all tenants of the building.

6. Obtaining quotes and implementing building maintenance and repairs quickly and efficiently, referring to the landlord only when repairs exceed a pre-determined figure. Supervising and liaising with maintenance contractors to ensure the smooth and efficient running of all building equipment. This will include the co-ordination of routine or planned maintenance, as well as other maintenance work as it arises. Ensuring, as far as possible, that tenants' complaints and concerns are attended to speedily and satisfactorily.

7. Producing a monthly report to the landlord and Head of Property Management. This should brief them fully on problems related to the running of the building, and either outline the measures taken to rectify them, or make recommendations in order to correct them.

8. Maintaining an accurate filing system so as to incorporate tenant information (tenancy agreements, relevant documentation, correspondence, etc), building/ equipment maintenance and reports, occupancy and accounting records.

9. Working in conjunction with HR while recruiting new staff, training and supervising new and existing staff, counseling and resolving problems and issues within the division, recommending salary/ commission reviews, overseeing leave schedules, etc.

Requirements

What are we looking for in the ideal candidate?

1. Experience in residential property management or suitable experience in Real Estate. A minimum of 7+ Years. With a portfolio of at least 1,500 Units and 3 direct reports.

2. Candidates must have depth knowledge of the local real estate market and continually update and develop that knowledge.

3. Understand the terminology of the local real estate industry.

4. Adhere to company policies and procedures at all times, keeping updated with changes.

5. Understand all other services provided by Better Homes and promote and cross sell to Clients whenever appropriate.

6. Develop and maintain an effective, long term, working relationship with Client's.

7. Work effectively with all their colleagues and other departments within Better Homes.

8. Ensure all documents and details are obtained and accurate.
