Employment: Full Time

The Program Coordinator supports the new employees post-arrival onboarding activities including identifying and coordinating several onboarding programs, orientation session preparations, speakers confirmation, facilities booking, data recording, transportation, materials sourcing and scheduling.

The incumbent ensures that new employees feel confident in the process by coordinating onboarding activates in a timely and consistent manner. He/ She also provides support to the Onboarding Manager in designated matters within the department.

Requirements

3-year Diploma in HR, Business Administration, Public Relations or related field.
3+ years in a coordinator role in HR/Relocation, Logistics, Hospitality, Public Relations or in any other relevant support function.
Professional in demeanor and appearance, courteous and friendly.
Ability to work in a fast paced, complex deadline environment with competing priorities.
Demonstrated track record of working in a coordinator role in a large, diverse organization.
Ability to think proactively, creatively, strategically, and independently.
Solid problem solving skills.
Strong interpersonal skills for dealing with sensitive or controversial situations.
Ability to build and maintain relationships requiring a high level of poise, trust, and integrity.
Demonstrated ability to successfully coordinate various activities with multiple stakeholders
Excellent communication skills.
Demonstrated ability to work proactively, collaboratively and as part of a professional team
Flexible and able to handle irregular work hours as and when needed.
Proficiency with Microsoft Office suite.
Fluency in written and spoken English.

KEY ACCOUNTABILITIES:

Coordinates all elements of the Sidras onboarding/orientation program/s including scheduling meetings, document preparations, follow up calls, space booking, meet and greet and gathering information/data.
Delivers a professional and welcoming point of contact to new employees by providing them with prompt and accurate support during the post-arrival transition phase.
Assists with other projects and processes that will create positive and efficient experiences for new employees.
Maintains relationships with line managers to smooth the on boarding of their new hires.
Advises new employees of Sidras HR policies and procedures.
Communicates with all other Sidra departmental assistants/coordinators for matters and arrangements relating to new hires.
Provides accurate answers to new employees queries when applicable and refer to the appropriate member of the wider HR team when deemed necessary.
Able to pro-actively liaise with internal and external contacts to gather and exchange information that support the needs of new employees.
Resolves problems as they arise and ensures that all staff in the on-boarding team and internal partner departments are updated in a timely manner.
Maintains confidentiality of employees and updates data and records for all on-boarding activities and contributes to the management of the electronic/paper filing of on-boarding documents.
Provides clerical and administrative support for.
Identifies and communicates opportunities for improvement to processes within the Onboarding unit.
Adheres to Sidras standards as they appear in the Code of Conduct and Conflict of Interest policies

In view of the evolving needs and opportunities within Sidra during this pre-operational phase, this position may be required to perform other duties as assigned and reporting relationships may vary.
