Job description / Role

Employment: Full Time

Salary up to AED 13,000

Our client is a well-established Dubai based company and they urgently need an administrator to join their busy team.

The Project Administrator will organise and coordinate office and subsidiary operations and procedures to ensure the smooth running of all offices across the group.

Specific Duties and Responsibilities:
- Procurement/Vendor Management
- Source vendors required for portfolio and negotiate competitive pricing
- Manage the relationships with key suppliers
- Ensure SLAs are met by suppliers to ensure best service for subsidiaries
- Maintain and renegotiate contracts
- Maintain credit accounts with selected vendors
- Facilities Management
- Liaison between maintenance companies and the subsidiaries
- Maintain Health and Safety and Maintenance records for each subsidiary
- Create an annual maintenance schedule for each subsidiary
- First point of call for maintenance issues and escalation where required
- Business Support Services
- Arrange documentation and/or quotations for the business needs including:
- Trade Licenses
- Insurance
- Telephone & Mobile Services
- DEWA
- Tenancy Contracts
- Car Leasing
- PO Box Establishment
- Bank Accounts

This may require offsite attendance to suppliers and government departments

- Business Support Services
- Account Management - Regular scheduled visits to subsidiaries to conduct Audits relating to the Administration Manual and to provide customer service
- Act as liaison and co-pilot to our subsidiaries to provide Head Office administration support

Requirements

- Ideally you will have at least 2 years of administration experience
- Extremely organised with project management skills
- Strong Customer Focus and drive for results
- Calm demeanor and can-do attitude
- Excellent interpersonal skills with the ability to appropriately communicate information to all levels of the organization
- The ideal candidate will be a proactive self-starter, who uses their initiative in difficult situations and demonstrates the ability to manage deadlines effectively.
- Must reside in the UAE
