Project Manager – Global

We are seeking a Global Project Manager to plan, execute, and finalise the set up and maintenance of our offices worldwide. This includes the renovation of existing structures, the renting of suitable facilities and new construction according to strict deadlines and within a budget. Additionally, this individual will acquire resources and coordinate the efforts of team members and third-party contractors to deliver projects according to plan. This individual will report to the Chief Financial Officer and his/her mission is to bring all of the Gates E&S facilities to the same high standard and develop and recognizable theme throughout the company’s locations.

The project manager will define the project’s objectives and oversee quality control throughout its life cycle. The individual must also work closely with Finance, HR , and IT Departments, as well as Line Managers, to ensure correct systems are in place and requirements are met.

Responsibilities
• Direct and manage project development from beginning to end
• Develop full-scale project budget plans and associated research documents for new locations and/or expansions
• Develop project planning documents and route to senior management for approval
• Estimate the resources and participants needed to achieve project goals
• Prepare designs and specifications for new offices and renovations; prepare requests for proposals and conduct meetings to facilitate hiring architectural and construction management services when necessary
• Monitor and report on all phases of planning and construction; coordinate with all parties involved in the planning, design and construction processes
• Review contract plans and specifications for compliance with appropriate building codes and project requirements
• Review and approve payment requests from professional consultants and contractors
• Monitor and facilitate the resolution of construction contract disputes and claims
• Delegate tasks and responsibilities to appropriate personnel
• Coordinate with other departments to set up facilities infrastructure
• Coordinate office moves
• Measure, analyse and develop key metrics for facility utilisation and efficiency
• Prepare detailed schedules in Gantt or PERT format, with clearly distinguishable milestones and critical path; a basic understanding of Primavera is an advantage
• Track project milestones and deliverables
• Manage changes in project scope; identify potential crises; devise contingency plans
• Define project success criteria and disseminate tasks to involved parties throughout the project life cycle
• Choose locations for new office sites after thoroughly researching the surrounding area and infrastructure
• Research local legal restrictions and laws as they are applicable to the business
• Network and build relationships in new locations to assess the current employment market and assist with hiring new employees
• Set up strong communication systems such as phone, internet, videoconferencing system, TV, fax, and copier
• Recruit office maintenance staff to maintain electronic equipment, computer systems, servers, firewalls and security networks, manage domain name and the internet connection
• Obtain local business license for each location and ensure business is registered with proper authorities
• Secure a comprehensive insurance plan for the facility and its contents
• Coordinate with Chief Financial Officer to ensure that financial systems are in place and are in line with company policies; research local financial requirements for becoming a legal entity with banking privileges in each location
• Liaise with Global Supply Chain Manager to ensure start-up stock levels are appropriate; provide detailed reports of stock items required and stock movement until local logistics / procurement manager is in place
• Provide detailed reports on hiring restrictions / local labour laws to HR Director and assist in local recruitment as needed
• Act as the local point of contact for all queries from senior management regarding each new location until such time a local team can be appointed

• Bachelor's Degree, preferably in Architecture, Building Science, Facilities Management or any other relevant field
• Diploma or equivalent in project management would be an asset
• Minimum of 5 years’ relevant work experience
• Knowledge of office design, facilities planning, and construction management and procedures
• Knowledge of estimating, budgeting and scheduling practices
• Knowledge of construction materials and methods
• Ability to read and interpret construction plans and specifications
• Excellent communication, interpersonal and problem-solving skills
• Must be able to interact professionally and efficiently with colleagues, vendors and customers/clients of all demographics and professional levels
• Ability to manage stressful situations and adapt to changing environments
• Willingness to travel and temporarily relocate until project is complete
• Demonstrable experience in the planning and executing of complex projects; experience in an international context would be an advantage
