Job description / Role

Employment: Full Time

The Project Manager is responsible for the FF&E procurement activities from planning stage to implementing the operations and assisting the Senior Manager in all terms of procurement activities.

The Project Manager reports directly to the Senior Manager.

The Project Manager will interact internally with the Procurement and Finance Team as well as externally with the Suppliers.

PRINCIPAL ACCOUNTABILITIES

Procurement
- Develop budgets and bill of quantity (BOQ) drafting for FF&E
- Create FF&E projects schedules.
- Consult & Liaise between I.D/Projects for finalization of packages and specs..
- Conduct market research and supplier analysis to identify market trends for opportunities to reduce cost.
- Alternate sourcing, pricing, and bidding of products with High negotiation skills via tangible and ethical RFQ / Tender processes.
- Supports Senior Manager in floating requests for quotations, evaluating the commercial bids, coordinating the technical evaluation, negotiating all purchase requisitions with vendors, ensuring the purchase orders are issued.
- Supports senior Manager in successfully implementing Emaars Procurement Management plan and strategy by evaluating bids on a preliminary basis for cost optimization throughout Emaar Projects.
- Ensure that all purchase orders are available with proper documentation, authorized and cost codes available.
- Ensures that quotations are scrutinized for the terms and conditions, payment terms, delivery period, warranty, after sales service, insurance and any other applicable terms mentioned in the quotation.
- Processes any amendments / cancellation to Purchase Order.
- Plans, organizes, implements and controls work procedures, schedules and programs related to purchase, delivery to be followed and ensures operator receives the goods as targeted and established standards are met.
- Co-ordinates with warehouse to ensure that all received / purchased items are safely stored for timely delivery & Installation as per approved and prescribed procedure.
- Informs Senior Manager of the receipt of damaged or incorrect items and takes necessary corrective actions to ensure prompt and correct delivery of the items.

Vendor / Supplier Management
- Conducts meetings with vendors and keeps abreast with the market place.
- Maintains good relations with key external contacts such as suppliers, consultants, etc to ensure that Emaar is given the required level of attention and service.
- Manage vendors production performance and track delivery dates status in compliance with project milestone.
- Manage shipping, logistic and deliveries to final project destination.
- Conduct products inspections during productions.

Adherence to Policies
- Ensures compliance with Emaars established Procurement Policies & Procedures

Reports
- Reports work progress and update the Senior Manager with any major purchasing issues that require attention.
- Ensure timely and prompt projects reporting of all weekly, monthly, bi-annually reports.
- Submits reports on cost savings to Senior Manager.

Procurement Database Management
- Assists the Senior Manager in regards to any changes required in the PCM procurement Module.
- Assists in compiling and updating the database of list of suppliers and assists the Senior Manager to finalize and implement the approved suppliers list to ensure the best suppliers to provide the service.

Other tasks
- Ensures that all objectives and KPI are met on a timely basis.
- Discuss and resolve operational constraints to ensure timely provision of the requisite service at optimum levels.

Requirements

- Graduate degree of Business Course or related field
- Minimum 4 years of experience in Hospitality Procurement in a medium to large organization.
- Experience in e-Procurement or equivalent procurement systems.

Skills
