Employment: Full Time

Develop customised solutions through responses to client requirements and similar requests with a view to achieving a target success rate of 50% per annum.

PRIMARY JOB PURPOSE

1.Manage all administrative elements involved in the compilation and submission of bid documents under the direction of the Bid Manager for each specific bid project.
2.Update information stored in the knowledge library and other document repositories.
3.Liaise with clients and suppliers as required.

ACCOUNTABILITIES

The Proposal Associate is responsible and accountable for (but not limited to) the following:

•Establish and maintain the electronic file structure for all bid projects in accordance with the bid process.
•Manage the bid “document” in accordance with APMP guidelines and in consultation with the Bid Manager. Develop the project “look and feel” and present options to the Bid Team for approval and feedback.
•Manage, with the Bid Manager, the Bid Delegation Matrix, proactively following up all outstanding bid requirements and identifying ‘at risk’ items to the Bid Manager.
•Create the bid compliance matrix and response document outline as well as managing all standard forms, powers of attorney and signatures and stamps.
•Update and maintain SharePoint for bid-specific projects and as directed by the Director of Proposals.
•Manage the Knowledge Library, ensuring that data is kept up to date, old data is archived and information is stored, categorized and secured.
•Participate in the Team Reviews and provide feedback to SME’s, Bid Managers and other stakeholders relating to content received.
•Review all incoming data to ensure conformance to the bid instructions, removing any identifiable spelling, grammatical or factual errors.
•Produce the ‘final’ document that is submitted to the client in either hard copy or soft copy in accordance with the bid instructions, local, national or transnational regulations as relevant. Ensure delivery of the bid to its destination by the deadline in consultation with the Bid Manager (where required).
•Perform other duties as requested by Bid Manager, Bid Team Manager, or Director of Proposals

Requirements

Essential:

•Minimum of 1 year and up to 3 years experience working on proposals in a team environment.
•Experience working in a small team environment.
•Working knowledge and experience using InDesign, Word, Excel, PowerPoint for the production of proposal.
•Understanding and experience of bid processes gained from working in a process-driven bid team.
•Ability to manage multiple priorities.
•Proactive approach to managing work priorities and deadlines.
•Exemplary attention to detail.
•Exemplary written and verbal English language skills.
•Proven track record of success that can be verified through references.

Desirable:

•Experience with Military and or United Nations (UN) with the development of or support to the preparation of EOI/RFP/ITB/RFTs and the proposal/bid process is desirable.
