Public Relations Officer

Job description / Role

Labour / Immigration
• Submit, follow-up and collect all new employment visas for staff and crew, to ensure that the visas are processed on a timely manner to support the business.
• Schedule and coordinate medical exams for crew and staff visa applications
• Monitor, renew, update and maintain records of all UAE Employees and crew visas, labour cards, emirates id and labour contracts in a timely manner
• Arrange translation and attestation of employee qualifications and documents as required
• Ensure that employee’s records are up-to-date in the labour and Immigration department
• Monitor and ensure sufficient quota is in place on relevant company entities for new visa applications
• Provide assistance to new and existing employees on their requirements such are driving license, e-gate and car registrations
• Provide assistance to employees to apply, renew or cancel their dependent visas and emirates id’s
• Arrange visas for business related travel for employees as required
• Maintain petty cash for PR activities and work closely with accounts department to settle advances in a timely manner
• Work closely with PR Manager of engineering division to resolve any problems faced with companies employment file and/or visas
• Collect and provide periodical updates from the government authorities on all Labour and Immigration rules and to keep the HR department updated from time to time on relevant changes in the rules and procedures in the UAE
• Liaise with relevant labour and immigration authorities to resolve any issues related to labour bans, absconding cases and blocked files

Crew
• Arrange NOC and Seaman’s Cards for Crew
• Liaise with agents to obtain for mission visas for crew as required
• Work closely with the operation team to monitor, UAE crew movements in correlation with their visa and labour card expiration to ensure cancelation or renewal are processed in a timely manner whilst crew are inside the country.
• Resolve any issues with visa and labour cancelations for crew that are outside the country
WPS
• Ensure that company complies with WPS rules and regulations to avoid any blocks from WPS and keep HR department updated on relevant changes in WPS regulations.
• Liaise with relevant labour authorities to resolve any issues related to WPS

Legal
• Work closely with Legal department to renew, update and maintain the trade licenses, commercial registration and other government certificates as required for any topaz marine entities in the UAE. This may include liaison with Ministry of Foreign Affairs, Ministry of Economy, Land Department, Economic Department, Municipality, RERA, Court administrative authorities including Notaries in the entire UAE (in particular Dubai, Abu Dhabi, Fujairah, Sharjah) and Free Zones
• Liaise with Free Zones Customs and immigration authorities for purpose of our vessel trading in and out of UAE and its crew
• Assist with the attestation and legalization process in consulates of various foreign countries in which Topaz has business presence
• Assist legal department in setting up new entities and local establishments in UAE as required
• Arrange legal translations of documents such as letter of authorisation, power of attorney, constitutional documents or any other letters for various purposes as required.
• Assist with any issues related to company vehicle registration and renewals

Requirements

Nature and length of previous experience: 6-8 years experience as Public Relations Officer in a large organisation
Specialist knowledge: Fluent in English and Arabic both spoken and written
Soft Skills and Personality traits: Planning and Organizing
