Job description / Role

Employment: Full Time

- Submit, follow-up and collect all new employment visas for staff and crew, to ensure that the visas are processed in a timely manner to support the business.
- Schedule and coordinate medical exams for crew and staff visa applications.
- Monitor, renew, update and maintain records of all Saudi Employees and crew visas, labour cards, IDs and labour contracts.
- Arrange translation and attestation of employee qualifications and documents as required.
- Ensure that employees records are up-to-date in the Labour and Immigration department.
- Monitor and ensure sufficient quota is in place on relevant company entities for new visa applications.
- Provide assistance to new and existing employees on their administrative requirements such are licenses and car registrations.
- Provide assistance to employees to apply, renew or cancel their dependents visas.
- Arrange visas for business related travel for employees as required.
- Collect and provide periodical updates from the government authorities on all Labour and Immigration rules and to keep the HR department updated on relevant changes in the rules and procedures.
- Liaise with relevant labour and immigration authorities to resolve any issues related to labour bans, absconding cases and blocked files.
- Arrange NOCs and Seaman Cards for Crew.
- Liaise with agents to obtain mission visas for crew as required.
- Work closely with the operation team to monitor crew movements in correlation with their visa and labour card expiration.
- Ensure visa cancellations and renewals are processed in a timely manner whilst crew are inside and outside the country.
- Work closely with Legal department to renew, update and maintain the trade licenses, commercial registration and other government certificates as required. This may include liaison with Ministry of Foreign Affairs, Ministry of Economy, Land Department, Economic Department and SAGIA etc.
- Liaise with external lawyers upon instruction from the Corporate Legal Team.
- Liaise with customs and immigration authorities and local clients to ensure permits and security clearances are secured.
- Arrange legal translations of documents such as letters of authorization, power of attorney, constitutional documents or any other letters as are required.
- Assist with any issues related to company vehicle registration and renewals.

Requirements

- Must have at least 1 year of experience in managing PRO activities for a well-established organization based in Saudi Arabia.
- Fluency in English and Arabic, both spoken and written is required.
- A good attitude and willingness to work.
