Job description / Role

Employment: Full Time

Support the Group Head of Procurement and the Head of Marketing / Group Marketing Manager in the procurement of marketing products and services for the Group by processing all high value purchase orders on a timely basis, with proper commercial evaluation, in line with Company standards, and ensure that fair market value is secured for such spend. Act as an interface between the marketing team members and the vendors to ensure that all purchase requests for goods and services are clearly understood and communicated to the vendors and all orders are processed promptly to ensure their timely delivery and effective execution. Provide value added commercial inputs to the marketing team.

Be the first point of contact for internal marketing team customers for receiving marketing purchase requests, understand any principal / activity specific requirements, the timelines for execution, and discuss the pros and cons of each vendor for the respective type of activity/spend (only if the requirements are unique)
Understand the business requirements, provide inputs into the marketing process and recommend alternative solutions above and beyond what is simply requested
Obtain vendor quotes, analyse them, seek clarification from the team & vendor to remove any ambiguities, summarise like for like comparison and explain the pros and cons of selecting a vendor based on quality, price, service record & terms to the marketing team member
Negotiate fair pricing without compromising on quality of goods or services
Prepare LPOs in Excel (in 2014) / in the AX 2012 Purchasing Module (when its live in 2015) and obtain signed/ online management authorization as per the Delegation of Authorities matrix.
Work with marketing team members and vendors to ensure adherence to ordered specs, quality & timelines
Manage and develop vendor relationships and broaden network of existing group vendors to provide the internal customers with a wider range of product / service solutions
Analyze MIS data to understand volume and nature of spend, buying trends and leverage group buying power
Maintain updated files of vendor contract information, authorized LPO copies with supporting quotes / documents, samples, brochures and catalogues to ensure sharing of knowledge during absence on leave etc and to support transparency in the procurement process when audited
Keep up to date with latest product / service trends and market knowledge to be able to advise internal marketing team members on potential supply options in a confident and professional manner
Interact professionally and develop added value relationships with the marketing team
Maintain personal presentation to be in line with company guidelines
Display a pleasant and professional attitude and conduct towards all vendors and colleagues

Requirements

Essential:
Minimum 4-5 years experience in procurement of marketing products & services in an FMCG / F&B company
Local market knowledge of products and services to enable selection of the right vendors for each type of spend/activity
Very good network and contacts with local vendors
Commercial astuteness and good negotiation skills to secure best fair value for quality products/services by leveraging buying power
Computer literate on Outlook, Excel
Confident individual with balanced pragmatic view
Pleasing personality with an ability to get along with all without compromising on his/her own independence or ethics and adherence to company standards
Excellent communicator in verbal and written mediums
Team Player who can earn respect and is comfortable working in results originated environment
Bachelors degree at least

Desirable:
Holds or plans to acquire a professional procurement diploma or qualification
Good working knowledge of the Procurement module in a recognised ERP solution
Resilient personality / self-motivator / achiever
Process oriented with systematic approach to issues.
Willing to learn and have a proactive nature
