The Role


The Role


To ensure that General Administration aspects of the contract are administered in an effective, efficient and professional manner enshrining best practice performance to the complete satisfaction and quality tasks of all of our clients.

• Administer day to day activities in all departments. Provide administrative and clerical support as necessary, including composing and editing correspondence as directed.

• Liaise with all other business units

• Carry out background research into subjects find the root cause and implement a quality solution to the complaints and presenting findings in an easily digestible form.

• Monitoring and reporting on overall progress of work programmes against the plans and forecasts.

• Production of the periodic progress reports as required by the Contract.

• Production of the periodic progress reports as required by the Contract Manager / Operations Manager.

• Assist in conducting audits of contract performance; add value to the contract through conducting customer satisfaction surveys.

• Prepare annual leave schedules for all the departments and monitor staff leave utilization against the schedule.

• Liaise with contractors, suppliers and service providers as required

• Create purchase requests for direct purchases as required.

• Follow up with stores for on time receipt of items

• Maintain the schedule of test equipment and arrange for calibrations as required.

• Maintain tools and equipment inventory for all departments and individual staff tools.

• Respond to client's complains and identifying prevention solutions.

• Monitoring of the operational effectiveness of all the departments through the use of established performance measurement techniques, including KPI'

• Attend telephone calls, E-mails, faxes, work orders as appropriate and pass on to concerned Charge hand / Supervisor.

• Provide IT support to Charge hand and Supervisors as required

• Support other Senior Managers and other members of staff, as time permits in day to day activities.

• To communicate to FM on all matters on day to day basis – to provide an update and to receive further direction of execution

• To communicate with all technical clerks to obtain update in day to day matters

• To communicate to all employees to address their administrative needs

• To communicate with head office regarding follow up of matters as required

• To communicate with all service providers and suppliers regarding invoice payments etc.

Requirements


Requirements


• Holder of university Degree
• Technical background will be an added advantage
• Minimum 3 years experience in similar capacity
• Demonstrate good man-management and interpersonal skills
• Fluent in written and spoken English
• Knowledge of Computerized maintenance Management Systems (CMMS) will be an added qualification.
