The Role


The Role


The Program Coordinator is primarily responsible for managing the operations of ROTA program and supporting the ROTA management. The Program Coordinator provides training, leadership development, communications, administrative/logistical/technical and motivational support to the ROTA program team.

Within limits of delegated authority, the Program Coordinator will have the threefold task of strengthening the surge capacity and taking
responsibility for the program team and managing assigned program portfolio.

KEY RESULT AREAS

• To design and formulate programs and, policies, quality standards (guidelines, checklists, and manuals set performance indicators / success criteria, cost recovery, targets and milestones) inside and outside Qatar;
• To establish ROTA's strategic identity , monitoring and financial system, finalization of memorandums of understanding and agreements with other partners, determination of required work plans, coordination of the mandatory and budget re-phasing exercises and closure of programs through review ;
• To act as a link between Program Manager and various partners from various countries;
• To participate in monthly meetings of ROTA Coordination Committee and in quarterly meetings with ROTA Steering Committee;
• To develop and expand relationships with various partners and/or regional NGOs to increase the pool of available education programs and activities; on a regular basis, revisit the terms of the Memoranda of Understanding in conjunction with partners;
• To assist in leading the program team with the purpose of implementing and monitoring ongoing programs and be responsible of training programme team members;
• To ensure implementation of program strategies through preparation of substantive inputs to Head of programs through analysis and research of the political, social, educational and economic situation in various countries. Provision of top quality planning advice services and facilitation of knowledge building and management focusing on achievement of the following results:
• Identification of sources of information related to education-driven issues;
• Identification and synthesis of best practices and lessons learnt directly linked to programme country goals;
• Identification of areas for support and interventions needed for the development of programs that will address some of the existing educational challenges and needs within Asia in collaboration with universities and institutions and other possible partners.
• To ensures effective management of country programs by the overall supervision of ongoing education programs focusing on quality control from formulation to implementation of country programs achieving the following results:
• Identification of partners in various countries and development of partnerships with government institutions, bi-lateral and multi-lateral sponsors, private sector, civil society in the education related areas based on strategic goals of ROTA, country needs and sponsors‘¦ priorities. In addition to sound contributions to knowledge networks and communities of practice;
• Recruitment and training of staff members in various countries;
• Analysis and research of information on sponsors, preparation of substantive briefs on possible areas of cooperation, identification of opportunities for initiation of new programs, active contribution to the overall team effort in resource mobilization;
• Effective application of programming tools, establishment of management targets and monitoring achievement of results;
• Design and formulation of Educational programs within and outside Qatar, translating ROTA‘¦s priorities into local interventions; Coordination of program implementation with identified partners;
• Introduction of performance indicators/ success criteria, cost recovery, targets and milestones.
• To establish a monitoring and financial system, finalization of memorandums of understanding and agreements with other partners, determination of required monitoring, coordination of the mandatory and budget re-phasing exercises, closure of programs through review. Coordinate with partners and monitor progress of the concerned programs and timely readjustments in portfolio Program Coordinator approves program costs and vouchers, in addition to :
• To carry out financial and substantive monitoring, field visits and evaluation of the programs, ensuring frequent partner reporting through monthly planning and reports ;
• To ensure creation of strategic partnerships and implementation of the resource mobilization strategy focusing on achievement of the following results:
• To maintain regular communication with educational partners through exchange of correspondence or meetings to update them on program results or to discuss development issues related to ROTA and its priority areas.
• To provide sound analytical inputs and advice that contributes to improving ROTA's capacity and ability to articulate volunteer programs. Take action to identify possible volunteer program areas and develop creative approaches to problem resolution. Timely delivery of assigned outputs. Develop partnerships and interact effectively with colleagues internally and externally

• Experience in the usage of computers and office software packages (MS Word, Excel, etc) and advance knowledge of spreadsheet and database packages, experience in handling of web based management systems
• Flexibility in working hours and application of effort
• Fluency in Arabic and English knowledge of other languages will be an Asset
