Job description / Role

Employment: Full Time

A globally recognized company specializing in agriculture and animal feed production is now hiring an Administrative Assistant/Receptionist.

Purpose of the Role:

To perform Administrative and office support activities by handling telephone calls, faxing, receiving and directing visitors, completion of paperwork, sign-in and security procedures in order to ensure proper administrative support.

Key Accountabilities:

Receive and greet visitors to waiting area, answer their enquiries related to availability of Companys personnel to be visited to ensure a professional atmosphere is maintained within the Company premises.
Address every incoming calls and mails for the Company and forward them to respective departments and/or people in order to serve as a unifying link between Company and Clients.
Issue Internal Communications and update the local intranet to ensure proper sharing of information
Coordinates Insurance, visit visa and Residency visa requirements with staffing section, counsels employees on procedures and problem areas so as to make sure the required documents are applied and obtained in a timely manner.
Issue official Letters and memos with the purpose of enhancing business communication and working relationship as per the corporate standards and saving them in the archiving log.
Prepare and monitor attendance record for the Office staff for reporting purpose.
Perform any other relevant tasks in line with the line manager's directives

Operating Environment:

The Job Holder must be able to handle a fast-paced environment without getting deviated.

FRAMEWORKS, BOUNDARIES, and DECISION MAKING AUTHORITY:

The Job Holder will have the authority to make decisions about their work priorities.
He / She does not have authority to delegate tasks to others.

COMMUNICATIONS and WORKING RELATIONSHIPS:

Internal:

All Departments: Day to Day Basis in order to ensure smooth flow of operation on an administrative level.

External:

Visitors: Day to Day basis to ensure smooth access to office.

Requirements

To be considered for this opportunity you must have the following skills and attributes:

Qualifications and Knowledge:

Diploma Degree in Business /Office Administration or equivalent field from an accredited institution.
Strong knowledge of Office administration procedures

Skills and Experience:

Minimum of 5 yrs. of experience in a similar field.
GCC Experience is a plus.
Strong MS Office Skills (Excel, Word, PowerPoint, Outlook)
Advanced Business writing skills.
Perfect command of both Arabic & English
