Job description / Role

Employment: Full Time

The receptionist is responsible for delivering consistently high customer service to internal and external customers, operating the main switchboard to route incoming calls and greeting office visitors.

The role is also responsible for passing on messages and responding to enquiries received via phone, email and mail.

Key Tasks and Responsibilities
- Respond to all incoming telephone calls, ensuring that these are answered promptly and are directed to the right person in the company.
- Maintain an up to date list of internal telephone numbers to ensure that incoming calls are directed to the right extension.
- Supervise the collection and delivery of incoming and outgoing mail, ensuring it is promptly delivered to the correct recipient.
- Maintain stocks of brochures, magazines and other information and ensure that these are easily accessible to visitors.
- Book couriers for documents being sent out from the Branch.
- Envelope and mail Statement of Accounts on a monthly basis .
- Prompt and accurate filing of documents, where required.
- Greet all visitors to the company, ensuring that their requirements are promptly dealt with and that they are given a favourable impression to the company.
- Issue and collect security passes and ensure visitors are entered into the visitors book.
- Maintain the reception area in a tidy manner so that a favourable first impression is given to any visitors.
- Support the company CSR commitment and goals.
- Adhoc duties as assigned by the Manager.
- Demonstrate and promote the company vision and values.

Requirements

- Ability to demonstrate commitment to customer service and continuous improvement.
- Ability to set priorities, work autonomously, manage your time and workload and dependably meet strict deadlines.
- Professional attitude and a willingness to contribute in a team environment.
- Developing administration and organisation skills with high attention to detail.
- Ability to show experience in the use of Microsoft Office including Word, Excel, PowerPoint, Outlook, Publisher or equivalent.
- Communication skills.
- Cultural sensitivity and awareness.
