Job description / Role

Employment: Full Time

Our client an international organisation are currently seeking a Receptionist, the role is responsible for providing all front office support for their office in Dubai. In addition, this role might be required to assist with some project related work and supporting the wider teams. Salary up to 14,000 AED + benefits.

Responsibilities:
- To be a professional and welcoming first point of contact for all guests upon arrival and until their departure; to handle all enquiries throughout their stay in a friendly and effective manner, always striving to exceed expectations and representing the company brand at all times.
- Manage and distribute mail and messages with confidentiality.
- Answering principal companies calls and fielding customer enquiries.
- Support in the coordination of the office boys and drivers in coordination with other office administrators.
- Dispatch, receive and distribute couriers. Tracking, reconciling with accounts and filing of consignment notes. Assisting senders with pro forma documentation and guidance regarding the most efficient option for couriering.
- Ensure streamlined and efficient flow of requests via the front desk in cooperation with all departments.
- Managing meeting room bookings and creatively assisting with appropriate solutions for meeting requirements (arrangements catering, presentations (liaising with IT), documentation, and overseeing presentation of the room).
- Maintain good communication with all teams to establish their whereabouts, movements and commitments / requirements.
- Provide facility for cover at Front Desk at all times.
- Employ a can do approach, be willing and flexible and always ready to demonstrate a helpful and pleasant manner.
- Provide pro-active planning and follow up for all teams in relation to logistics.
- Support the Guest Service Executives and Door Attendants in their work, ensuring the highest possible service is delivered in a friendly and professional manner.
- Recognise all repeat and VIP guests.
- Establish and develop personal guest contact, promote feedback and be consistently proactive in anticipating guests requirements.
- Additional responsibilities to be advised as the organisational needs develop with time.

Requirements

Technical Knowledge: Good computer skills with a high degree of fluency in Power Point, Word, Excel, and web search tools with the ability to learn new software as needed; knowledge of office administration as well as human resource management

Appearance/Personality: Professional, energetic, sets priorities, meets deadlines, takes initiative, dependable, committed and goal oriented, excellent inter-personal skills, with a strong customer-service outlook

Professionalism: Discretion in dealing with confidential and sensitive matters, good judgement, flexible and patient, excellent organisational skills, assertiveness, emotional intelligence; able to interact professionally with culturally diverse staff, clients and consultants

Language Skills: English and Arabic fluency is required with a strong ability to communicate clearly and concisely verbally and in writing

Personal Attributes and Skills: honest and trustworthy; respectful; possess cultural awareness and sensitivity; flexible; sound work ethics; attention to detail and high level of accuracy, analytical and problem solving skills, decision making skills, effective organisational skills, time management skills
