The Senior Office Administrator is responsible for delivering consistently high customer service to internal and external customers.

The Senior Office Administrator is responsible for the completing more complex administrative tasks to ensure the smooth running of the office.

Key Tasks and Responsibilities

Administration.
- Research, prepare and supply information as required.
- Covering general administration duties as required whilst staff are on leave or otherwise indisposed.
- Respond to all incoming telephone calls, ensuring that these are answered promptly and are directed to the right person in the company.
- Maintain an up to date list of internal telephone numbers to ensure that incoming calls are directed to the right extension.
- Supervise the collection and delivery of incoming and outgoing mail, ensuring it is promptly delivered to the correct recipient.
- Maintain stocks of brochures, magazines and other information and ensure that these are easily accessible to visitors.
- Book couriers for documents being sent out from the Branch.
- and mail Statement of Accounts on a monthly basis .
- Prompt and accurate filing of documents, where required.

Customer Service
- Greet all visitors to the company, ensuring that their requirements are promptly dealt with and that they are given a favourable impression to the company.
- Issue and collect security passes and ensure visitors are entered into the visitors book.
- Maintain the reception area in a tidy manner so that a favourable first impression is given to any visitors.
- Perform administrative tasks to support the efficient and effective delivery of customer services and day to day operations of the office.

Training
- Provide on the job training to new administrative employees, ensuring they have a thorough understanding of all required tasks.

Corporate Social Responsibility
- Support the company CSR commitment and goals.

Other
- Arrange catering and other requirements for company lunches and other larger functions.
- Adhoc duties as assigned by the Manager.

Requirements

- Secondary education certificate or equivalent.
- Interpersonal skills and the ability to build collaborative relationships with multiple and diverse stakeholders.
- Developed administration and organisation skills with strong attention to detail.
- Experience in the use of Microsoft Office including Word, Excel, PowerPoint, Outlook, Publisher or equivalent.
- Strong written and verbal communication skills.
- Cultural sensitivity and awareness.
