Employment: Full Time

CMA Systems, Global Delivery Centre (GDC) is a 50/50% joint venture of CMA CGM and IBM.

GDC is the center of excellence in Software Engineering to provide delivery and support for our unique client CMA CGM for Information Technology requirements.

Receptionist cum Administrative Assistant is responsible for providing receptionist, clerical, basic secretarial and administrative support in order to ensure that Office services are provided in an effective and efficient manner.

Essential Duties and Responsibilities

Reception Area:
- Maintain the professional standards for telephone techniques
- Answering all incoming calls
- Re-direct calls as appropriate and take messages as and when required
- Greet, assist and/or direct visitors appropriately
- Provide information and assistance to clients and customers. Answer inquiries for the general public.

Administrative Support:
- Maintain conference room schedule, Library
- Raise Purchase requests for office/Administrative requirements
- Coordinate with local suppliers and partners with regards to office deliveries
- Control deliveries for office and supplies
- Coordinate with Hotel Booking & airport transfers
- In charge of receiving & sending mail: courier (DHL, Fed Ex) / PO Box
- Maintain on regular basis the office decoration, plant, pictures, frames, etc
- Maintain the general filing system and file all correspondence
- Help the office staff in their business related administrative issues
- Maintain an adequate inventory of office supplies
- Perform other related duties as and when required and support the General Admin Team

Requirements

- Minimum of 2 years in a similar role
- Good knowledge of the country and work practices in Dubai. This job has to be filled with an experienced local person.
- Effective communication skills and the ability to liaise, negotiate, and reach constructive agreement with office partners, suppliers or customers (R)
- Microsoft Word, Excel, PowerPoint (R)
- Fluency in English (oral and written) (R) French would be an advantage.
- All communication (oral and written) must be of a high standard in terms of clarity and grammar (R).
