Our client is looking to recruit a Receptionist for their office in Dubai, as first point of contact, either in person or by telephone you will be required to provide a positive and professional image of the firm and respond to telephone calls in a courteous and helpful manner and to greet clients in an efficient and welcoming way.

Key Responsibilities:
- To answer incoming calls in a polite, efficient and helpful manner, take information and relay it promptly and accurately, as appropriate.
- To greet clients in a courteous and welcoming manner, retrieve the visitor pass, offer refreshments and inform Partner of clients arrival. Clients to be given priority over couriers, delivery men etc.
- Liaise with IT on any IT or telephone problems.
- To receive and send documents by courier, tracking on the internet.
- Ensuring Reception and the waiting area are tidy and newspapers are provided at all times.
- Ensure meeting rooms are serviced prior to a meeting booking by liaising with the reception assistant and also checking the room.
- Maintain an effective booking service for conference rooms, allocating the appropriate size of room and following the reception meeting room booking procedure.
- Check emails, forwarding appropriately.
- Sorting mail, date stamping and entering on Excel, ensure documents are delivered to the correct case handlers.
- Take bookings for video conference calls, and set up video conference calls.
- Order flowers for clients, staff as required.
- Order lunch for staff meetings and ensure refreshments are provided.
- Hotel/ travel on request from office admin
- Assisting in general office admin tasks when required.

Requirements

The successful candidate will be well presented and have excellent English communication skills. Previous experience working as a receptionist would be highly advantageous.
