Job description / Role

Employment: Full Time

- To be the first point of contact for all administrative related matters and issues.
- Responsible for liaising with the necessary bodies to ensure the maintenance of building facilities.
- Oversee all flight and hotel requests for business travel are well attended & business visa are applied if required.
- To ensure that all administrative related invoices are recorded and LPOs are prepared.
- Handle departmental petty cash funds and maintain control for all sundry expenses.
- Ensure validity for all supplier contracts on an annual basis.
- Ensure seamless archiving of company documents.
- Control and monitor fuel card usage.
- Process all staff entry permits as and when required.
- Ensure that the reception area is kept in a good condition
- Operate telephone switchboard to answer, screen, or forward calls, providing information, taking messages, or scheduling appointments.
- Ensure that all messages for colleagues via telephone, email and in person are communicated effectively.
- Greet office visitors and direct or escort them to specific destinations.
- Manage time sheets for all drivers and office boys.
- Oversee the usage of the corporate office vehicle fleet.
- Manage the coordination of all company related events.
- Plan and manage driver schedule according to management needs.
- Manage stationary stock, supply and stationary requisitions.
- Maintain records of incoming faxes and document transmittal.
- Manage incoming and outgoing mail and couriers.
- Transmit information or documents to customers or employees based out of other office locations.
- Process and prepare memos, correspondence, travel vouchers, or other documents.

Requirements

- A minimum of five years in a similar role with overall responsibility for office management, administration in a busy corporate environment.
- Diploma/Degree in a related field.
- Excellent English communication skills are essential.
- Excellent organization skills.
- Excellent time management skills.
- A team player with an excellent attitude.
