Job description / Role

Employment: Full Time

* Responsible for the Group Receptions including ensuring that all visitors, clients and telephone callers have a positive impression and are treated courteously and that all calls are answered professionally and promptly.
* To organise meetings and handle meeting rooms schedule accurately and promptly on a daily basis.

General:
* To ensure that the switchboard is turned on half an hour before working hours on a daily basis.

Customer Service Attendance:
* Treat visitors to the Head Office courteously and inform the relevant staff of their arrival promptly.
* Provide customers with general information if necessary on Majid Al Futtaim such as working hours, names / designations / location of relevant managers etc.

Telephone Attendance:
* Answer all telephone calls promptly and to ensure that forwarded calls to the relevant staff are monitored so as not to leave callers unattended.
* Record all outgoing international calls made through the switchboard.
* Take messages from callers and ensure they are passed on to relevant staff.


Meeting Room Bookings:
* Ensure meeting rooms are kept tidy throughout the day by liaising with the Office Assistants.
* Allocate and book meeting rooms for employees when requested.
* Receive emails from secretaries for bookings and reply back with a confirmation on room number.

Mail / Courier Services:
* Receive and dispatch the courier mail in an efficient manner.
* Receive and record incoming documents and parcels on a log-book.
* Responsible for dispatching documents and parcels through Courier.
* Organise mail sent by post and ensure that they are placed in Pigeon boxes on a timely manner.
* In-charge of ordering Airway-bills on a regular basis.
* Ensure Airway-bills are filled out accurately by employees before sending them through Courier.

Administrative Work:
* Prepare reports on meeting room bookings.
* Prepare postal reports.
* Carry out general administrative duties as requested.

Requirements

* Strong communication skills.
* Must be Bilingual (Arabic/English).
* Strong Customer services skills.
* Strong telephone skills.
* Strong knowledge of MS outlook, MS Word & Excel.
* Minimum of 2 years of experience
