Job description / Role

Employment: Full Time

The Receptionist will act as first point of contact for visitors to the office and will be responsible for creating the first impression individuals have of the firm. They will be required to meet and greet individuals in a professional manner identifying the purpose for the visit and handling it as required.

The receptionist will also act as switchboard operator for the office and will be required to direct calls both internally and externally.

Requirements

* Answer all incoming telephone calls, determine the purpose of the call and forward the call to the appropriate person or department.
* Takes and delivers messages or transfers calls to voicemail when appropriate personnel are not available.
* Retrieves messages from voicemail and forwards to the appropriate person.
* A source of information to callers.
* Direct persons to the correct destination.
* Deal with queries from the public and customers.
* Ensures knowledge of staff movements in and out of the organisation.
* General administrative and clerical support.
* Updates the extension list of staff contact details.
* Tidy and maintain the reception area.
* Meeting and greeting visitors to the office.
* Directing telephone calls, dialling out (mobile and international line).
* Managing daily couriers, and preparing the monthly spreadsheet for invoicing.
* Arranging taxi reservations daily and preparing the monthly spreadsheet for invoicing.
* Accept all incoming courier mails, document for collection as well as all outgoing inter-office mail.
* Coordinating meeting room bookings.
* Ordering lunch for a training/meeting, making out name badges.
* Coordinating with the Office Assistants for binding, scanning, faxing and photo copying request.
* See and act on opportunities to enhance client service.
* Exercise confidentiality, discretion and personal sensitivity in all aspects of the role.
* Compliance with PwC policies & procedures in all aspects of the role.
* Build network of strong working relationships both internally and externally.
